About the role:


Under the supervision of the Regional Head of Transactional Services, you will lead the Accounts Payable (AP) team, including a supervisor, overseeing invoice and payment processing, vendor management, account reconciliation, compliance and reporting, query handling, expense report processing, and credit card program administration.


  • Your role will involve implementing AP management best practices to enhance the efficiency and accuracy of the processes, monitoring performance using key performance indicators (KPIs). You will play a critical role at preparing for and in deploying Coupa, ensuring its successful integration and utilization.

Invoice and Payment Processing

  • Oversee all (order and nonorder) invoice processing activities ensuring timely and accurate receiving, reviewing, and processing of invoices from suppliers of goods or services.
  • Improve automated and nonautomated processing efficiency.
  • Implement a clear and consistent workflow for handling exceptions and discrepancies.
  • Supervise root cause analysis of processing errors and implement swift resolution.
  • Initiate shortterm (weekly) processing plans and monitor activities to ensure accounts payable and related activities are correctly and timely processed. Ensure cash flow optimization by adhering strictly to contractual payment terms and other arrangements, paying early where discounts
  • Ensure that stopshipment risks are minimized (reduced to zero) by paying suppliers on time.
  • Ensure timely vendor statements account reconciliation with accounts payable records to ensure accuracy and resolve any discrepancies.
  • Initiate resolution or respond to customer/stakeholder inquiries, employing data analysis for problemsolving and recommending suitable actions.

Key Performance Indicators and Reporting

  • Ensure the timely preparation and presentation of ProcuretoPay (P2P) monthly Steering Committee reports to support informed decisionmaking.
  • Continuously track Key Performance Indicators (KPIs) relevant to the function.
  • Develop a strategy to improve Invoice processing rate, reduce 30days and older invoices backlog, reduce average days to resolve mismatches, and GRNI.
  • Create a comprehensive weekly KPI Dashboard with clear targets and action plan to boost team productivity.
  • Identify bottlenecks and implement process improvements for enhanced efficiency.

Policies, Processes and Procedures

  • Ensure compliance with P2P processes, financial objectives, delegations of authority, and transaction approvals.
  • Ensure adherence to relevant policies, codes of conduct, and accounting, ethics, and compliance procedures through oversight management.
  • Assess and improve accounts payable processes, identifying opportunities for streamlining based on systems knowledge and stakeholder feedback.
  • Lead or contribute to process improvement initiatives, optimizing efficiency and compliance in highvolume transactional environments.
  • Standardize P2P processes in collaboration with Supply Chain and other stakeholders, prioritizing operational needs and compliance.

Compliance & Controls

  • Ensure compliance with Company established policies and regulations.
  • Mitigate risks by implementing and maintaining controls aligned with company policies and directives, embedding adequate checks and balances into routine processes.
  • Provide training to the team on compliance and risk related topics.
  • Respond to audit requests by providing necessary information and documentation.
