Opportunity


The
Program Coordinator supports the Older Adult & Volunteer department in maintaining and enhancing operational standards to ensure efficient and effective service delivery for all programs.

Participates in program development, policies and procedures formulation, program evaluation, data and deliverable tracking across multiple funding contracts.

The Key Areas of Responsibility are:

  • Coordinates client referrals. This includes receiving client inquires and external referrals and distributing to appropriate staff based on client's language, staff capacity, and program eligibility requirements.
  • Identifies and notifies management of any emerging client referrals trends
  • Supports management in the compilation of reporting for various funders and programs within the department
  • Supports with updates to data collections systems such as excel tally sheets.
  • Oversees the day to day operation of the program by coordinating necessary facilities (office space sharing, virtual platforms) and equipment (office supplies & resource manuals)
  • Provides support and input for program guidelines and policies (such as mandatory training attendance), program standards and licensing requirements.
  • Maintains related records and statistics for input to the quarterly reports (such as PQI and funder reports) for submission to the Manager
  • In consultation with the Manager, coordinates monthly program meetings
  • Supports with the invoicing and reconciliation of program expenses
  • Represents the organization or program in external meetings/events where necessary;
  • Shares and collects mutually relevant information with internal departments and community partners; Facilitates referrals to the program
  • Promotes public awareness of and support for the program using promotional materials, conducting marketing campaigns, and attending community events;
  • Researches and compiles a comprehensive database of community resources networks;
  • Provides input for program capacity building;
  • Makes recommendations to the Manager regarding program development, policy and procedure formulation and program evaluation;
  • Completes all other related tasks as assigned by the Manager;
  • Follows the Policies and Procedures of the Society;
  • Participates in the Society's accreditation activities as required
  • Diploma in a related human /social service related field;
  • Two years recent related experience; or an equivalent combination of education, training & experience Program/Project Coordination or an equivalent combination of education, training and experience;
  • Excellent written and spoken English;
  • Fluency in speaking, reading and writing in one of the contract languages an asset;
  • Experience working with newcomers and knowledge of the settlement sector;
  • Demonstrated knowledge of case management framework;
  • Demonstrated ability to work successfully and cooperatively on interagency project initiatives;
  • Demonstrated experience and ability working with diverse populations;
  • Excellent organizational and time management skills;
  • Sound knowledge of community resources and ability to network and build partnerships;
  • Ability to work with mínimal supervision and meet deadlines;
  • Ability to use a computer, including MS Windows, MS Word and the internet.
