About the position:

This will include, but not be limited to the following responsibilities:

  • Assist counsellors in the execution of all university counselling programming, including the submission of required school documents (ie transcripts, and letters of recommendation)
  • Answer questions from students and parents and direct families to appropriate resources
  • Communicate with students, counsellors and teachers to coordinate the submission of teachers' letters of recommendation
  • Liaise with universities and other organizations to coordinate recruitment events, inschool workshops, university visits, and maintain a complete calendar of events
  • Prepare regular communication, including promotional materials, for the TFS community on university counselling events
  • Assist with the preparation of presentations and reports to support the overall program, including regular updates to the website

Manage systems and databases and reporting:

  • Manage a variety of student information databases as they relate to supporting the Senior Learning Forum (ie Veracross, Trevlac, OUAC-reporting, and international university tracker database), process required changes, run queries and print reports
  • Generate Ontario Student Transcripts (OST) for all students, including editing, creating and printing transcripts, as well as uploading to OUAC
  • Serve as a data resource person for key staff and provide data analysis; liaise with the IB office on IB transcripts
  • Troubleshoot issues with resources from the IT department: suggest changes, verify, test and liaise with staff regarding new database design
  • Complete data analysis and prepare reports and graphs on student academic performance, university acceptance and matriculation data for use in various communications

Act as a resource contact, coordinate other Learning Forum administrative/supervisory duties:

  • As the first point of contact in the Guidance Office, provide a warm and welcoming environment for the TFS community
  • Answer questions; triage issues of a sensitive/confidential nature and redirect people to the appropriate resource
  • Receive, open and distribute mail, update bulletin boards and websites with relevant information for students and parents
  • Organise and maintain office supplies and materials for the Senior Learning Forum
  • Effectively manage and organise the team's calendar
  • Liaise with the marketing and communication team on Senior Learning Forum media needs, information and translate communications if necessary

Who we are looking for

Qualifications and Key Skills:

  • University or college qualifications and experience in education, business, data management and customer service
  • Exceptional organisational and time management skills
  • Strong interpersonal and communication skills required
  • Extensive computer skills including expertise with variety of project management programs, along with advanced Excel (Spreadsheet) skills, Google apps, and social media
  • Experience with student information databases and data analytic tools is an asset

Fluency in French and English, both in written and oral communication, is required.**:

  • Minimum of three years of experience in business, records and/or data management
