Secretary Position in Oncology Clinic

Location: Victoria, BC

Job Summary:

As a crucial part of the healthcare team, the Secretary role involves providing administrative and secretarial support in a collaborative environment. Ensuring a safe space for patients, families, and staff by following safety procedures and guidelines is a key responsibility.

Responsibilities:

  • Manage incoming calls, directing them appropriately or providing necessary information.
  • Determine the importance of incoming calls and take suitable actions.
  • Facilitate communication between clinical staff and external facilities.
  • Coordinate appointments and tests for patients in partnership with the clinical team.
  • Organize meetings, conferences, and associated arrangements.
  • Handle mail, information, and correspondence efficiently.
  • Support in preparing reports, documents, and grant applications.
  • Assist with clinician scheduling and collaborating with the team for coverage requirements.
  • Perform other relevant duties as assigned.

Requirements:

Education, Training, and Experience:

  • Minimum high school diploma with completion of a recognized secretarial program and medical transcription course, along with three years of related experience.

Skills & Knowledge:

  • Proficient in typing at 50 wpm.
  • Effective verbal and written communication skills.
  • Strong organizational abilities and the capacity to work with various equipment.
  • Familiarity with Indigenous Cultural Safety, anti-racism practices, and social, economic, and historical factors influencing indigenous communities is highly regarded.
