Manager, Planning and Projects:

Primary Purpose:

The Department of Academic Family Medicine is a large complex provincially distributed medical education program in the College of Medicine at the University of Saskatchewan and is dedicated to excellence in patient care, teaching and learning, research, and administration._ _This position will provide support the development and delivery of various project and planning initiatives.


Nature of Work:

_ _This position reports to the director, operations and administration and will work in collaboration with the members of the department's leadership team, and various internal and external partners and stakeholders.

The work is diverse, requiring knowledge of university operations, project management and quality improvement. This position will play a key role in the successful coordination and implementation of policies and projects.


There is a high volume of work in a fast-paced environment frequently driven by competing critical deadlines and requires the management of competing interests.

The work involves in-depth research into emerging trends and best practices and detailed analysis and reporting of data. The need for accuracy in collecting, reporting, and interpreting data is significant. The work requires a high level of organization, adapting to shifting priorities.

The incumbent must be proactive in the collection and distribution of information and be able to communicate effectively with key stakeholders.


To be successful, the individual must exercise sound judgment, be comfortable in a team environment, and have well developed communication, facilitation, and project management skills.

Maturity, experience, problem solving, and communication skills will be keys to success.

In carrying out this work, confidentiality and close collaboration and alignment with key administrative and operational areas will be critical.

The work is diverse, requiring knowledge of university operations, health systems and organizational change management.

Typical Accountabilities

  • Establish, maintain, and manage the relationship with relevant stakeholders
  • Contributes professional and administrative expertise to the development of plans, objectives, and projects. Tracks analytics and integrates these into planning processes and reports. Develops, with leadership, business cases for new projects and structures.
  • Assist in the definition of project scope and objectives, involving all relevant internal stakeholders and ensuring feasibility; develop detailed project plans with stakeholders to monitor and track progress including project documentation, analytics, report writing, and process maps; monitor closing the loop activities
  • Undertake research into current trends and best practices, collect and analyze data, and reporting relevant information to appropriate stakeholders in support of initiatives
  • Perform risk management to minimize potential risks; collaborate to support process owners in the identification of financial and operational risks and the effective use of internal controls to mitigate those risks
  • Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques; measure performance using appropriate project management tools and techniques
  • Report and escalate to management as needed
  • Perform other related duties as assigned

Qualifications

Education:
A relevant post-secondary education. Additional education or training related to project management, such as project management certification (PMP) or change management certification (e.g. Prosci, ADKAR) is considered an asset. A combination of education and experience may be considered

Experience:

A minimum of three to five years of related experience in project planning and management in a post-secondary, public or not-for-profit sector is required.

Experience in post-secondary or health care sector is preferred.
