The Opportunity

Accountabilities

  • Provide excellent customer service and promote a positive experience for Frankensolar customers.
  • Asist walkin customers by addressing inquiries, providing product information, and processing payment if needed via terminal machine, cash, or cheque.
  • Maintain the accuracy of the database by entering new and updated customer and account information.
  • Efficiently and accurately process signed quotes and customers' orders/PO into our inhouse ERP system.
  • Attend weekly meetings, providing status updates for all open orders in the system.
  • Gather and verify customer shipping information to ensure a smooth shipping process.
  • Proactively update customers on stock levels and shipping details.
  • Ensure that the company database is updated with customer information, including change of address/contact information.
  • Process sales return and replacement orders, initiating shipping claims for damages in collaboration with the shipping department.
  • Support outside sales team as needed to address customers' needs and inquiries promptly.
  • Provide inventory updates to the Procurement department via PO Tracker for effective stock level maintenance.
  • Take responsibility for shipping of boxed items using online shipping portals.
  • Maintain open orders in NAV, consistently communicating shipping details to customers.
  • Keep secure records of outgoing inventory by scanning hard copy documents in the company's digital filing system.
  • Collaborate with the accounting department to reconcile any extra charges on freight invoices with customers.
  • Handle online shop orders through Ecommerce store.
  • Participate in upskill when available (inside sales training, procedure training and management skill development, etc.).
  • Acknowledge and resolve customer complaints.
  • Oversee daytoday interactions and sales functions between customers, Sales Account Managers and the product supply functions.
  • Enhance client service by actively developing industry and product knowledge.
  • Other duties as assigned.

Requirements and Skills:

  • A college degree/diploma either in a business or engineering related field is preferred.
  • Experience in customer service is required.
  • Excellent communication skills
  • Proven organizational skills with the ability to multitask, prioritize, and manage time effectively.
  • Strong listening and presentation skills.
  • Ability to establish rapport with customers.
  • Natural curiosity and desire to learn, grow and develop your skill set.
  • Proficient in Microsoft Office products (Microsoft Word, Excel, and Outlook).
  • Knowledge of Microsoft Dynamics NAV is an asset, but not required.
  • Basic knowledge of Accounting
