About the position:


Reporting to the Executive Director, Philanthropy, the coordinator will help coordinate and provide administrative support for TFS's $39 million capital campaign.

The coordinator will work closely with TFS Foundation colleagues and others throughout the TFS community, including staff and senior volunteers to support campaign activities, including events, special projects and initiatives, and stewardship & recognition programs.


Duties and Responsibilities:

Campaign:

  • In collaboration with the Foundation colleagues, coordinate the production of campaigns and moves management reports and ensure all prospect records are maintained in the database (RE/NXT)
  • Work closely with the President, and the Executive Director, Philanthropy to provide administrative support for campaign meetings, including cultivation, solicitation and stewardship meetings.
  • Provide support to ensure campaign communications and cultivation event activity plans are met.
  • Respond to inquiries from Campaign volunteers and donors, building and sustaining relationships.
  • Create, maintain and provide timely reports and statements on donor activity and tracking the campaign's progress
Prospect Research and Coordination

  • Work with the team to determine requirements for prospect and pipeline analysis and management, gift analysis and event management and develop accurate, userfriendly reports.
  • Analyze information across platforms to identify potential donors and volunteers within the community with specific experience and skills.
Event Planning & Coordination

  • Provide administrative support and assist with the preparation and execution of a wide range of donor events.
  • In collaboration with the Development Officer, Major Gift and Stewardship, prepare and oversee the execution of invitations, RSVP forms, marketing materials, and social media for donor events and communications.
Participate in the development and maintenance of budget/expenditure reports and event activity reports.

  • Maintain record of eventrelated contact management in the Raiser's Edge database.
  • Participate in meetings and/or events outside of regular business hours as required.
Administration

  • Assist with data quality projects and documentation of business operation processes.
  • Work closely with Foundation colleagues and the TFS Finance team to support the preparation of expense reports, purchase requisitions and payments
  • Support data entry and updating record information in the database.
  • Provide administrative support to senior management of the TFS Foundation.
  • Other duties as assigned.

Who we are looking for:

Education:

  • Graduate of a postsecondary program, ideally in communications, fundraising or management.

Skills & Experience:

  • Previous experience working in an office setting.
  • Demonstrated ability to work effectively and communicate with a variety of stakeholders, including donors, volunteers, sponsors and staff.
  • Great writing, proofreading and editing skills, with experience in writing and producing communication materials.
  • Project management and organizational skills with a proven ability to meet deadlines and coordinate multiple projects simultaneously.
  • Excellent interpersonal skills and collaborative working style. Proven ability to exercise tact, discretion, and good judgment.
  • Good facility with software such as MIcrosoft Office Suite, Google Suite and Adobe. Experience with Raiser's Edge or fundraising databases would be an asset.
  • Excellent written and verbal communications skills in English. Proficiency in French and/or Mandarin would be an asset.
