Reporting to the laboratory manager, the Laboratory Information Systems (LIS) Officer works as an integral member of the Laboratory and Information Management Team, the responsibilities of the job include:

  • Monitoring, maintaining, supporting and troubleshooting the Laboratory Information System (LIS)
  • Designing and testing ODBC queries to the main Laboratory Information System (LIS)
  • Overseeing the laboratory in terms of data mining, developing and generating reports and data analysis ensuring data integrity and output are in line with departmental and hospital wide policies and procedures
  • Acting as liaison in all LIS matters for the laboratory, communicating with front line staff, management, and external stakeholders
  • Overseeing training of new staff, medical trainees, Doctors and nurses in relation to the LIS Program, while assisting with Medical Projects and initiatives being conducted in the Laboratory

Duties and Responsibilities:
1.
Maintaining Expert Knowledge of LIS Applications

  • Develop/maintain expertise with methods used to query the database creating specialized reports used for budgeting, training, and procedural purposes
  • Monitor issues arising from other users through audits and reports submitted by internal and external stakeholders
  • Maintains workload queries, modifications in the LIS as required

Ensuring the Software, Related Interfaces and Peripheral Hardware are Optimally Maintained

  • Acts as first level response to problems/inquiries from laboratory staff and hospital staff using the LIS portal
  • Resolve problems or ensure problems are escalated appropriately for timely resolution
  • Organize the development and upgrading of the LIS ensuring that all changes are tested and documented appropriately prior to implementation
  • Monitor all instrument and system interfaces to ensure that data is being transferred accurately and continuously ensuring patient care is not affected or delayed
  • Resolve interface problems using the appropriate resources and monitor to ensure they are functional, in a timely manner
  • Oversees the appropriate installation and maintenance of label printers, barcode scanners and other peripheral devices used on benches by laboratory staff
  • Plan, test, implement and document changes/upgrades to LIS software, interfaces and hardware
  • Implement, coordinate and communicate the introduction of changes/new versions of software with users and other LIS support staff
  • Ensure signoff by the appropriate laboratory person for all changes

Developing, Documenting, and Training User Requirements in accordance to operational Policies and Procedures

  • Review all LIS user manuals as required on a regular basis and update as required
  • Review all policies related to the operation of the LIS and connected systems such as those required for downtime on a regular basis
  • Oversee the training and development of users, staff, and other medical personnel to ensure they are trained and familiar with the privacy and procedure requirements of the LIS systems

Maintaining Security Access Files

  • Set up new users with appropriate access for their functions for both LIS and Network accounts
  • Promptly delete security access to employees who leave their employment
  • Monitor security accesses; ensuring no unauthorized access is occurring or breach of confidentiality

Providing Advice, Guidance and Training to Laboratory Staff in the Operations of the Applications

  • Liaise with laboratory staff to identify their needs while helping to improve work flow
  • Prepare general educational material for training of end users and review and update as required
  • Develop training materials for the orientation of new staff and existing staff when system and hardware updates occur

Contributing to the Examination of Data Integrity and Output

  • Monitor error logs and outstanding lists and investigate items as required while taking corrective action ensuring appropriate TAT's and resulting
  • Resolve issues, in consultation with the technical staff, Quality Committee and/or vendor, related to incorrect or missing results
  • Develop solutions, when appropriate, to prevent reoccurrence of problems through staff and council meetings as a lead, senior staff, and expert user of the LIS and equipment used in the Laboratory
