The Opportunity:

Provides clerical, administrative, reception, and finance related support on an interim basis or for special assignments.

Duties/Responsibilities:

  • Provides administrative support, including meeting agendas, minutes, and followups; typing and data entry; training registration; scheduling; room bookings; photocopying; faxing; processing mail and courier packages; tabulating data; filing and file transfers; and maintaining bring forward systems.
  • Provides financerelated support, including processing and issuing payments and receipts; reconciling invoices; preparing and forwarding cheque requisitions.
  • Schedules clients into appointments, orientation sessions, workshops, and programs. Creates and sends confirmation letters. Sets up client testing. Distributes client payments.
  • Maintains stock and distributes forms and brochures/publications.
  • Monitors, orders, and stocks office supplies.
  • Receives direction, guidance, and assignments from management and other staff. Exchanges information with program and other Regional staff.
  • Distributes client cheques as per protocols, and maintains petty cash, up to $1,000. Maintains equipment used for own work in good condition and reports problems to supervisor.
  • Performs related duties as assigned.

Knowledge, Skills & Abilities Required:

  • Knowledge of office procedures, word processing, and communication skills acquired through a Grade 12 education and 2 years of customer service and/or administrative experience.
  • General knowledge of departmental program areas; ability to learn specific policies, procedures, and protocols.
  • Ability to work independently and as an effective team member. Ability to demonstrate initiative and adapt to shifting program needs, deadlines, and priorities when providing assistance to management and staff. Ability to collect, compile, and report information for assigned projects. Ability to clarify, resolve, and follow up on problems.
  • Communication, interpersonal, and customer service skills to relate effectively with all levels of staff, clients, and members of the public, who may be upset/emotional. Ability to handle confidential information discreetly.
  • Computer skills using software such as MS Office, databases, and the Internet.
  • Ability to travel to locations within Waterloo Region.
  • Ability to support and project values compatible with the organization.
