Position Summary:

Under the direction of the Director of Development, the Donor Relations Support Supervisor is

responsible for the processing of WHS donations and ensures appropriate donor

acknowledgement of all donations is done in a timely manner. They are also responsible for the

training and coaching of Donor Relations support staff.

This position ensures cash handling and Raiser's Edge policies and procedures are being adhered
to by all development staff. The Supervisor will work in conjunction with the Director, Donor

Relations to develop database and cash handling policies and procedures for development office's
handling of daily mail and special events. The Donor Relations Support Supervisor will monitor the

processing of WHS donations and make recommendations to the systems as needed. The Donor

Relations Support Supervisor may be required to work outside of normal office hours to assist with

events and special projects.

Duties and Responsibilities:

  • Trains and coaches Donor Relations support staff
  • Enters and maintains data over multiple donor databases and Excel sheets
  • Ensures all Raiser's Edge policies and procedures are adhered to by all Donor Relations
staff

  • Prepares, maintains and sends out donor acknowledgements and receipts
  • Assists with daily mail processing, balancing donations for deposits and database
maintenance

  • Handles cash transactions in the shelter and during events
  • Performs donor retention and payment collection by phone
  • Updates Donor Relations training guides as needed
  • Manages inventory of Donor Relations materials including envelopes, letterhead, and tax
receipt paper

  • Provides feedback on donation form design
  • Other duties as assigned

  • Assigned duties completed in a timely manner
  • Knowledge and understanding of department priorities and be willing to assist in all
programs as directed to assist the bottom line and accountability of the Donor Relations

Authority to perform all assigned duties and responsibilities within established policies and

procedures.

Accountability:

Directly accountable to the Director, Donor Relations for the performance of all assigned duties

and responsibilities.***
Interpersonal Relationships:Has frequent contact with WHS staff, volunteers, suppliers, vendors, and public.

Abilities, Skills & Knowledge:

  • Five years of direct experience with Raiser's Edge
  • Five years experience in an administrative position, preferably in a notforprofit
development office

  • Experience in supervising a team
  • Excellent ability to articulate and communicate with clients, fostering a high standard of
client care

  • Ability to multitask and be receptive to ongoing changes in priorities
  • Proficiency with Microsoft Office Suite including Excel
  • Demonstrated ability to solve problems, use good judgement, and communicate effectively
with peers and clients.

  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to organize and prioritize work
  • Ability to work independently with little supervision
  • Must have a valid driver's license and unrestricted access to a vehicle

Education, Training & Knowledge:

The following qualifications would be considered assets:

  • Certificate or Degree in Office Administration, Fundraising or Event Planning. An
