The Opportunity

Columbia College seeks a full-time Academic Advisor Manager to join a collaborative and dynamic Student Services department. The working schedule is Monday to Friday from 9:00 am to 5:00 pm (35 hours per week). The ideal position's start date is in July 2023.

SUMMARY:


The Academic Advisor Manager is responsible for providing and evaluating academic advising services and programs for the CC main campus.

The aim is to support student academic success throughout their academic career.

The incumbent must maintain an in-depth current understanding of the requirements for all programs and provide accurate and consistent advising services.

This position also involves leading the academic concession processes for late withdrawals, authorized leave, and academic standing. The Academic Advisor Manager supervises Academic Advisors and Student Success Coordinator.


Duties and responsibilities will also include academic advising, course planning, student orientation, working with other members of Student Services, Faculty, Admissions, Administration and liaising with external institutions, agencies or individuals.

The Academic Advisor Manager reports to the Student Services Director.

Key Responsibilities

  • Maintain uptodate knowledge of academic standards and best practices to serve a diverse student population effectively.
  • Use the expertise and indepth knowledge of postsecondary system requirements to evaluate student academic records in order to assist students with decisionmaking in line with their academic and career goals.
Establish and maintain liaison and referral services with educational institutions, professional and community organizations, and other Columbia College departments.

  • Investigate and resolve issues relating to registration, registration blocks, transfer credits, and other discrepancies.
  • Oversee and evaluate the Back on Track program and propose improvements.
  • Advise students about requests for academic concession, evaluate documentation, and liaise with instructors and counsellors to determine the appropriateness of concessions in line with college policy, ensuring consistency and equitability in outcomes.
  • Contribute to the review of the academic performance of all students to ensure they meet promotion, continuation and graduation requirements.
  • Identify students in crisis and manage cases to resolution. Advise on academic options and make referrals to campus supports and services as required.
Maintain membership in academic advising organizations and attends conferences.

  • Create, maintain and update the Advisors Handbook and SharePoint site. Ensure advising information and policies are current and uptodate.
  • Train new staff with responsibilities for advising on advising handbook, SharePoint and other recourses as required.
  • Provide training and general supervision to the Student Success Coordinator.
  • Provide daytoday leadership and direction to Academic Advisors
  • Participate in identifying processes and systems that require improvement, mapping current processes and making recommendations for change
  • Provide support to colleagues during absences
  • Perform other duties are required
Provide advice and support to the university's recruitment, conversion and retention activities.

  • Assist in the development and promotion of orientations and registration workshops.
  • Respond to various internal requests from faculty and administration regarding new programs, courses, and institutional policies.
  • Participate in Registration and Orientation weeks.
  • Participate in Graduation.
  • Bachelor's degree in Education or relevant discipline.
  • Three (3) years of related work experience within a postsecondary institution or related educational environment.
  • Excellent knowledge of secondary and postsecondary regulations and academic requirements.
