Reporting to the Administrative Director, Curriculum and Learning Environment, this position has three main areas of responsibilities: 1) to provide high level administrative coordination and support of the Assessment Office processes, including coordination of exam delivery on the Thunder Bay campus, 2) to provide support in the coordination of student accommodations and appeals, as they relate to student assessment, and 3) to provide coordination and support for the analysis of student assessment data.

The day-to-day job focus will be on the area of student assessment and data analysis, as well as general administrative support to the UME portfolio when required.

More specifically, this position will work closely with both the Student Assessment Data Analyst and the Administrative Coordinator UME (Student Assessment) to deliver assessments and analyze the results, according to student accommodation requirements.


This position interacts with the Director of Assessment and Program Evaluation who provides collegial and collaborative supervision, leadership and guidance to this position which shall include delegating tasks and responsibilities and will also contribute to the performance review.

Responsibilities:

Tasks include, but are not limited to the following, in three general categories:

  • Coordination of Assessment office processes
  • Coordinates the delivery of exams on the Thunder Bay campus. This entails ensuring exam day preparations are ready and on time, troubleshooting any issues that may arise and working closely with the immediate supervisor, faculty invigilator, assessment staff, and others in the smooth delivery of exams.
  • Functions in the role of Staff Invigilator for UME exams scheduled on the Thunder Bay campus, according to the approved "UME Invigilator Responsibilities" policy. When required, coordinates the logistics of a virtual exam session.
  • Works with the Data Analyst, Student Assessment to organize and deliver the reassessment, remediation, and outofsync requirements for undergraduate medical students consistent with the respective customized remediation/reassessment and learning plans.
  • Provides high level administrative support to UME governance committees as assigned.
  • Prepares, edits and proofreads correspondence, reports, presentations, and other required material/documentation. Prepares graphs, charts, spreadsheets, and schedules to aid unit members.
  • Communicates effectively with relevant stakeholders (i.e., Curriculum and Learning Environment staff, UME Administrative Director (Curriculum and Learning Environment), UME Administrative Manager (Program Delivery), Director, Assessment and Program Evaluation, internal and external Faculty, learners, and other portfolios) while maintaining strict confidentiality.
  • Student Accommodations and Appeals Coordination
  • Coordinates the Assessment team's activities in delivery of all assessments according to accommodation plan requirements.
  • Coordinates the internal UME appeals process, ensuring all steps of the process are followed, including documenting steps taken.
  • Works with faculty adjudicator of appeals to provide background information and context for optimal decision making on appeals
  • Data Analyst, Student Assessment related tasks
  • Works collaboratively with the Data Analyst position to ensure all student assessment results are properly calculated and reported according to the existing processes.
  • Works with the Data Analyst to continuously improve processes for analyzing and reporting student assessment results.
  • Serves as a secondary Data Analyst, Student Assessment, in the event the incumbent is temporarily unavailable.
  • Performs other duties as assigned.

Qualifications:

Education:

  • A University degree in Business Administration, Education, Mathematics, Statistics, or relevant discipline from a recognized university with Canadian accreditation or an equivalent combination of education and experience is required.
  • A Master's degree in Education, Statistical Analysis, or other related disciplines is an asset

Knowledge, Skills and Abilities:

  • Minimum of three (3) years of related experience is required.
  • Advanced knowledge of a variety of software programs used for quantitative analysis and database management
  • Basic understanding of educational research processes
  • Working understanding of principles and best practices of modern assessment and evaluation methods and tools
  • Familiarity with psychometric methods and procedures
  • Demonstrated time management skills
  • Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • Ability to effectively communicate both verbally and in writing
