***We are looking for a resourceful individual who has great attention to detail and is interested in being a supportive team member with a quickly-growing Company. The Project Assistant is responsible for providing administrative support to the Project Managers to create, submit, file, and organize all project documentation and other related drawings, records, reports, meeting minutes, and correspondence. This role will keep the project organized by providing follow-up, client correspondence, and maintaining a flow of formal communication as required by the project. The Project Assistant will perform an array of tasks to support site resource requirements and may also support other teams within the home office or perform other clerical tasks as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Data entry, entering Extra Work Orders (DFR's) into Vista, maintain correct status
  • Creating new Potential Change Orders (PCO's) and Phase Codes in Vista including additional change filing as required
  • Filing of change documentation in assigned locations (preparing, project specific labelling, filing)
  • Assist with packaging and submitting changes (either for CR Submission or TM PPE billing) including titles/watermarks/submits (SharePoint) & logs on correspondence log
  • Assist with distribution of change response back to responsible parties for their action
  • Assist with maintaining Change Log (shared)
  • Assist in updating the Correspondence Log

REQUIREMENTS

  • Able to develop an understanding of the entire change process
  • Demonstrate efficient and focused work ethic, works well under pressure
  • Display initiative in conjunction with the Project Team to ensure change data is accurate and up to date
  • Effective communication with the Project Team, able to speak confidently and knowledgeably on the status of changes
  • Portray FMI in a professional and positive manner, by ensuring effective written and verbal communication
  • Keep positive attitude in all aspect of the work environment
  • Manage multiple priorities, and being able to shift between priorities throughout the completion of tasks
  • Experience in document control an asset
  • Experience in Viewpoint(Vista) an asset
  • Experience with use SharePoint, Adobe Acrobat, Word/Excel
  • Ability to maintain and follow consistent process

Job Types:
Full-time, Permanent

Salary:
$22.00-$25.00 per hour
