Duties:


Provides direct assistance and guidance on a variety of protocol-related matters to the Ambassador, Deputy Chief of Mission (DCM), Executive Office staff, seven Consuls General (CG), and senior staff at a mission comprised of 1300+ employees.

Recommends contacts for engagement and arranges meetings for the Ambassador and DCM with Canadian government officials and prominent business people, nonprofit and community leaders.

Serves as the Executive Office primary point of contact with government offices, including the Prime Minister's Office, Cabinet offices, and Global Affairs Canada, the Queen's representative Governor General of Canada, members of Parliament, and 13 Premier offices across Canada.

Helps to arrange and oversee official events. Manages receiving and appropriately reporting official gifts. Independently drafts correspondence and Diplomatic Notes.

Travels to any one of the seven Consulates as necessary to provide protocol training or manage special events in those locations hosted by the Ambassador or Chargé d'Affaires.

Develops and maintains a network of contacts in Canada, including in the seven Consular districts. Oversees compilation of the July 4th guest list and solicitation list.

EXPERIENCE:

Minimum five years of progressively responsible work experience is required in protocol, public relations, office administration, event management or other work requiring skills typically related to the position.


JOB KNOWLEDGE:

Must have comprehensive knowledge of Canadian Government protocol guides, general etiquette and social norms, as well as business organizations, diplomatic corps and local institutions.

Must have knowledge of the overall political structure and top officials, of the Canadian and U.S. governments.

  • Education Requirements:


Completion of University degree in Public Relations, Arts and Culture, Events Management, Business Administration, Political Science or related major is required.

LANGUAGE:
Fluent (Level IV) writing/speaking/reading in English. This may be tested.

SKILLS AND ABILITIES:
Must be able to remain composed, professional and productive even in demanding circumstances. Treat all with respect and demonstrates sensitivity to status, protocol relationships and chain of command. Must interact effectively in official encounters. Must have good basic writing skills to draft simple letters and be able to type 40 words per minute. Must have good verbal communication skills and be able to perform duties with discretion. Must have excellent organizational, planning, and prioritizing skills and be able to work well under pressure.
