The Office Receptionist is responsible for reception, providing administrative and clerical support to all staff, maintenance of office supplies, equipment and furnishings, and any other duties that may be assigned by the supervisor.


RESPONSIBILITIES

Reception:

  • Receive and greet visitors and answer incoming calls in a professional, friendly, courteous manner and promptly directs them to the appropriate staff.
  • Receive and greet contractors and provide necessary assistance.
  • Maintain and reorder information pamphlets as needed.
  • Keep the reception, meeting areas, and Sagihidig rooms neat and tidy at all times.
  • Booking meeting rooms and Sagihidig family time.
  • Collects, sorts, logs, date stamps, makes copies and directs incoming mail and outgoing mail and faxes.
  • Signs for courier deliveries and arrange for courier pickup.
  • During Covid19 pandemic, logging in and out all staff and guests, taking and recording temperatures of all staff and guests, managing, and organizing PPE.
  • Support worker safety during Sagihidig family time. Reception is responsible to contact emergency services if required to ensure all staff and client safety.

Office:

  • Provides administrative and clerical support to all staff members.
  • Orders office supplies and calls for service on office equipment as needed.
  • Maintains an inventory of all office equipment, furnishings, and supplies.
  • Typing, photocopying, and faxing letters, memorandums, reports, and other documents as requested.
  • Filing, collating, and scanning documents, reports and files as requested.
  • Desktop publishing and photocopying information flyers and ensuring that these are prepared and distributed or mailed out.
  • Assist in the preparation of meetings as required.

Education and Experience Requirements:

  • Ontario Secondary School Diploma combined with an Office Administration certificate plus one year of related work experience or equivalency of education and experience.
  • Previous reception/administrative experience within an Indigenous Wellbeing organization would be an asset.
  • Experience working within an Indigenous Child-Wellbeing setting would be considered an asset.
