This vacancy is being posted in accordance with Article of the Collective Agreement for CUPE Local 46. This vacancy is one of limited term of up to eighteen(18) months.

GENERAL DESCRIPTION

This position facilitates all functioning aspects of the enhanced Police Information Check process. The position is also responsible for assisting Police Information Check applicants with the use of the online application platform and ensuring that all correspondence is properly routed and/or responded to.

ORGANIZATIONAL RELATIONSHIPS:

  • The position reports directly to the Administrative Services Staff Sergeant and may take direction from the Police Information Coordinator.
  • The position works cooperatively with front counter staff and the public to facilitate Police Information Check processes.
  • The position maintains professional relationships with other police agencies, the courts, and other relevant stakeholders.

PRIMARY FUNCTIONS/ACCOUNTABILITIES:

  • Process all Police Information Check applications by reviewing confidential criminal histories (criminal records, involvement in extra-judicial sanctions, common-law peace bonds, and any other court disposition records) to determine relevant police information that should be released or withheld from applicants on a case-by-case basis.
  • Conduct database searches using a variety of police and court databases with a high degree of confidentiality and discreti
  • Ensure all disclosures of information contained on a Police Information Check are in accordance with applicable legislation as well as the guidelines issued by the Alberta Association of Chiefs of Police.
  • In collaboration with the Police Information Coordinator, conduct risk assessment on all potential non-conviction police information and youth conviction disclosures.
  • Conduct local indices checks at the request of other police agencies when required.
  • Maintain records of police information check applications and various electronic workflow queues.
  • Accurately respond to public inquiries related to Police Information Checks, applicable legislation, processes, and disclosures.
  • Perform electronic fingerprint submissions for applicants in relation to vulnerable sector screening.
  • Research, develop and implement procedures surrounding Police information Checks.
  • Maintain up to date knowledge of applicable privacy legislation, criminal law, AACP guideline amendments, and political discussions surrounding Police Information Checks and processes.
  • Performs other duties as required.

REQUIRED COMPETENCIES

  • Thorough knowledge of the policies, procedures, laws, and by-laws related to Police Information Checks.
  • Self-motivated, self-directed, organized, and able to determine priorities and deadlines, while maintaining the flexibility to adjust to changing priorities.
  • Thorough working knowledge of the following information systems and applications:
    • Canadian Police Information Centre
    • Justice Online Information Network
    • Versadex Records Management System
  • Demonstrate an advanced ability to interact tactfully and respectfully with both internal and external customers.
  • Possess excellent conflict resolution skills and the ability to lead others effectively.
  • Strong ability to communicate effectively, both orally and in writing, and to maintain confidentiality as required.
  • Ability to make decisions and work independently using proper judgement and procedure.
  • Ability to thrive and function effectively in a fast paced, demanding, and computer orientated work environment with frequent interruptions from staff and visitors.
  • Attention to detail, critical thinking and analysis skills, and an investigative mindset are essential.

REQUIRED QUALIFICATIONS

  • Successful completion of a one (1) year certificate in Office Technology or related program from a recognized post-secondary institution.
  • Two (2) years' related experience in law enforcement record management or related field.
  • Must satisfactorily complete a full Police Service security clearance as outlined in the Medicine Hat Police Service's Policy and Procedures.
  • An equivalent combination of management approved education and experience may be considered.
