Position Summary:

This position involves

Detailed Job Duties and Responsibilities:

Human Resources:

  • Ensure that employee, Management and Board inquiries are responded to within 24 hours of the initial contact;
  • Provide ongoing support to employees, management and the Board as required;
  • Ensure confidentiality, dependability, discretion;
  • Be diligent in anticipating actions required and follow through in a timely manner;
Payroll, Compensation, Benefits and Paid Leave

  • Maintain database of compensation benchmarks;
  • Collaborate with managers to decide on employee compensation;
  • Maintain payroll system;
  • Preparation of annual compensation letters;
  • Register employees with the benefits partner at the completion of the waiting period;
  • Participate in the annual review and/or renewal of benefits coverage;
  • Coordinate with benefits consultant on an as needed basis;
  • Review and send monthly paid leave report to managers and Finance;
  • Enter compensation and benefits entitlements into HR information system;

Training and Performance management:

  • Ensure managers are documenting all employees' training on the Employee training database and in the respective HR files;
  • Ensure managers are working with their staff to develop and evaluate performance against goals annually;

New Hires:

  • Identify recruiting requirements with Management;
  • Review the Job Description for the position being posted and secure Management approval;
  • Post the available position in the relevant internet sites;
  • Set up interviews/reference checks and required background security review;
  • Preparation of letter of offer and acceptance;
  • Coordinate with University Coop programs;
  • Set up new hires on HR system and train new employees on how to enter data/use it;
  • Identify IT requirements for new hires, and coordinate with IT to ensure proper setup is completed;
  • Orientation on first date with the company;
  • Review exit interviews for areas for improvement;

Terminations:

  • Advise and or support managers in this process;

Management:

  • Prepare biweekly HR updates;
  • Be a sounding board for Management when required be a safe place to vent;
  • Attend annual offsite Strategic Planning sessions;
  • Share insights into potential problem area re employees and Management;
  • Seek areas and share ideas to improve efficiencies;
  • Provide and review monthly report on leaves, training and vacation balances by department;
  • Prepare the draft Board slides for the HR/Payroll/Benefits quarterly presentation;
  • Attend the Board Meetings and record the draft minutes for review;
  • Prepare a quarterly Board slide summarizing all training that has been completed;

ISO:

  • Ensure all documentation required in the HR ISO chapter of the 9001:2015 binder is up to date and being adhered to re compliance issues;
  • Represent HR at all of the internal and external ISO audits;

Employee engagement:

  • Social and Diversity Committees participate in arrangements for employee events.
