Job Posting: Scheduler - Security Services

Location: Mississauga, ON

Position Type: Full-time

Schedule: Monday to Friday, 8 am to 4 pm

Overview:

Allied Universal is seeking an experienced Scheduler to join our team. As a Scheduler, you will be responsible for ensuring that all work assignments are fully staffed according to job requirements. You will maintain and update the master schedules for a branch or regional location, documenting all work hours, employee changes, and time differences to ensure accuracy. You will also be responsible for filling vacancies due to absences with the most suitable and qualified replacements. This role is critical in supporting the operations of Allied Universal and ensuring client satisfaction.

Requirements:

  • Experience in the Ontario Security Industry and with a unionized workforce.
  • 2+ years of scheduling experience.
  • Post-secondary education in Law and Security, Business Management, or a related field.
  • Excellent oral and written communication skills.
  • Strong customer service orientation.
  • Ability to track and analyze scheduling trends.
  • Experience working with scheduling systems and software.
  • Strong organizational skills and the ability to manage multiple tasks.
  • Proficiency in Microsoft Office applications.
  • Demonstrated ability to work effectively with employee groups and build partnerships at all levels of the organization.
  • Experience with manpower scheduling for multi-location facilities using real-time scheduling software.
  • Ability to focus and multi-task in a busy environment, handle stressful situations calmly and professionally, and manage multiple employees with diverse personalities.
  • Must be able to speak, read, and write English fluently.

Responsibilities:

  • Maintain master schedules for all security job sites within a branch or regional location.
  • Respond to client, guard, and internal service inquiries promptly.
  • Manage costs related to training and non-billable overtime by selecting appropriate staff to fill vacancies.
  • Assign and reassign staff according to site requirements and established procedures.
  • Ensure all vacancies due to absences are filled with suitable replacements.
  • Prepare and provide reports as required by the scheduling system.
  • Ensure employee information, such as lates, absences, and recommendations for disciplinary action, is updated in the scheduling system.
  • Recommend disciplinary actions to the Operations Manager for employees who are repeatedly late, absent, or refuse work assignments.
  • Maintain confidentiality regarding company operations and personnel information.
  • Communicate in a diplomatic, courteous, and effective manner.
  • Forward extra security coverage order information to the Billing Department.
  • Report any discrepancies in Allied Universal policies to the appropriate manager.
  • Represent and promote Allied Universal interests both internally and externally.
  • Other duties as assigned by management.
