Position Overview

The Snyder Institute for Chronic Diseases in the Cumming School of Medicine invites applications for a Medica and Events Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

This position reports to the Manager, Business Operations.

The Coordinator will take initiative in applying communication skills to provide information and resources to Snyder Institute membership, stakeholders, committees, partners, faculty, and staff in a timely and effective manner. The Coordinator is expected to support a broad spectrum of communications projects and tasks including development and distribution of communication/media for events, liaising with a high level of internal and external officials, evaluating projects and initiatives, and handling daily communication activities of the Snyder Institute. The Coordinator will work closely with the Communications Specialist and Community Outreach, Education, and Events Coordinator, in a supporting role.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Act as communications liaison between Snyder and key partners within and outside the University of Calgary
  • Responsible for the implementation of communication and marketing plans as directed by Snyder Leadership to increase awareness of Institute success stories, research activities and highlights, community engagement and education activities
  • Effectively plan, organize and stage communication and media for a wide variety of events each year, such as: faculty and staff events, symposiums, research days, seminars, town hall meetings and social events
  • Proactively seek out relevant research stories, develops storytelling that articulates the outcomes and impact of strategic initiatives for various audiences and contribute regularly to university publications
  • Responsible for the writing and editing (including gathering facts, planning, researching) of internal and external communication pieces
  • Produce high-quality communications materials, including reports, speaking notes, news releases, media advisories, media kits, web content, etc.
  • Prepare and design regular communication products such as Snyder Institute bulletins and newsletters
  • Create, manage, update, and maintain content for the Snyder Institute websites and social media related to both
  • Manage calendar of events including the updating and maintenance of event listings on the Snyder Institute websites
  • Effectively manage expenditure budgets for communication products and activities reporting to the Manager, Business Operations
  • Provide regular reporting to the Directorship and act as liaison for other relevant parties regarding event planning and event outcomes
  • Build and foster strong relationships with the Office of Advancement and the Cumming School of Medicine Communications team
  • Assist the Community Outreach and Education Coordinator with the coordination of events, including set-up, audio-visual support, providing promotional and presentation materials, and advertising
  • Assist the Community Outreach and Education Coordinator with administrative duties related to the delivery of events
  • Work with the Snyder Institute Trainee Committee and other Snyder community members to assist in the delivery of events and programs
  • Preparation of PowerPoint presentations, data analytics, and other materials as required for Directorship
  • Engagement with Snyder members to collect news and relevant information for dissemination and stories
  • Preparation and maintenance of a comprehensive catalogue/database of historical stories, articles, and media for the Snyder Institute
  • Point of contact (office, phone, email, etc.) for the Snyder Director with regard to communications and media relations
  • May be required to attend meetings to transcribe minutes
  • Processing expenses, invoice payments, procurement, and PeopleSoft functions related to Communications, Marketing, and Events activities of the Institute

Qualifications / Requirements:

  • Post-secondary diploma/degree in a relevant area such as communications, public relations, marketing, journalism
  • Minimum 3 years of related experience, preferably in a post-secondary or health care setting, or a large complex organization
  • Familiarity with one or more of the following: the health technology sector; government stakeholders; UCalgary; Industry; Medical Education; and health sector stakeholders
  • Significant communication and administrative experience with emphasis on decision-making and highly developed organizational skills and ability to anticipate needs, plan, organize, coordinate, and perform work with little or no direction
  • Interpersonal and communication skills required in dealing with a range of situations, which may include complex, sensitive and confidential issues
  • Excellent communicator within a team and in-depth knowledge of Cumming School of Medicine and University culture and operating procedures is considered an asset
  • Demonstrates professionalism, discretion, courtesy, and respect in all interactions with internal and external clients creating a positive image the Snyder Institute, the Cumming School of Medicine and the University of Calgary
  • Ability to operate within a complex, multi-faceted work environment and be a strong team player
  • Capability to adjust work schedule to meet multiple demands and pressures
  • Experience producing a variety of communication vehicles aimed at various audiences
  • Experience working with the media both in a reactive and strategic planning capacity
  • Excellence in storytelling, science writing, and copyediting for general and specialized audiences
  • Experience planning and executing events for various sized groups
  • Proficient in Microsoft Office applications such as Word, Excel, Access and PowerPoint
  • Proficient with industry standard design and production software, such as Canva, Adobe InDesign, Illustrator and Photoshop
  • Familiarity with shooting, editing and producing still images and video segments is considered an asset
  • Experience with Web Design, social media content and maintenance is an asset
  • Strong interpersonal skills and a proven ability to build and maintain effective relationships
