Objectives and Responsibilities:

  • Collaborate with managers and clients to define project requirements, scopes, and objectives that align with organizational goals.
  • Coordinate internal and external resources to ensure projects remain within scope, schedule, and budget.
  • Analyze project progress and adapt scope or timeline as necessary to achieve optimal results.
  • Assign roles and tasks to team members based on their individual strengths and abilities.
  • Help build the skill sets of team members and share learnings with other employees.
  • Achieve organizational goals while adhering to standards and best practices.
  • Plan and coordinate technical activities, including teams and projects.
  • Create and organize project/contract information packages for clients and teams.
  • Handle billing of completed work and grants.
  • Obtain pricing and perform scheduling of subcontractors.
  • Assist in hiring new team members and subcontractors.
  • Maintain and manage documents, software delivery, drawings, specifications, subcontracts, and related reports. Establish, monitor, and initiate updates to project work lists and schedules.
  • Maintain project management data by entering daily units of completion.
  • Review and confirm progress payment, final payment, and all extra work orders as per contract.
  • Collaborate with estimating and operations teams to ensure project scopes are monitored and updated.
  • Work with operations, developers, and field crews to ensure all documents, data, samples, and deliverables are tracked on time.
  • Ensure all aspects of a project are organized and conform to timeline and deliverable requirements.
  • Develop and maintain a project performance database to track overall progress and milestone achievement.
  • Assign and monitor resources effectively to boost project efficiency and maximize deliverables output.
  • Report project risks and outcomes to appropriate management channels and escalate issues according to the project work plan.
  • Serve as a communication point between internal teams, external resources, and clients.
  • Deepen partnerships with outside resources, including third-party vendors and clients.
  • Work across different time zones, including late nights and early mornings with international clients when needed.
  • Be available to travel within Canada and internationally when required.

Required Skills and Qualifications:

  • 1+ years of experience in pricing, planning, and executing project coordination.
  • Experience in coordinating teams and clients.
  • Proven success in a hyper-growth company setting, working with all levels of management.
  • Strong written, verbal, and presentation skills.
  • Bachelor’s degree (or equivalent) in a relevant field.
