Job Description: : The Specialist – Document Management reports to a Lead Specialist - Document Management. Is responsible to implement Document Management following internal process on a project level. Manages project documentation deliverables by using document control process and management system. Owns and maintains the project’s Master Document List. The Specialist – Document Management is accountable for his/her own work related to the quality management of documents on the project and for supporting the team in making schedule deadlines.
Document management process & DMS
Use established procedures to define or to resolve issues related Document Management process definition and deployment on a project.
Prepare the Project Document Control Procedure related to the Document Management on the project
Follow-up the project documentation deliverables
Ensure consistency and high quality within the project documentation
Conduct Documentation Management System training to new users
Provide functional assistance and support users with document control software
Create and maintain all necessary document lists for the project.
Manage all project document transactions for the company ensuring all relevant information is accurately recorded on the Document Management System
Support PED to liaise with customers and partners to follow-up the project documentation deliverables
Submit documents to customer
Track customer comments and answers, along with document resubmission
Manage customer return status of project documentation within the Document Management System
Advanced English & French language proficiency – speaking & writing
2 years of experience in technical document control or engineering
Ability and willingness to travel 15% of the time, including international
A bachelor’s degree in Documentation or in Engineering, or equivalent experience
Advanced technical French language proficiency, strongly desired
Good understanding of engineering processes and document control systems.
General knowledge of engineering technical terms.

Spécialiste — Gestion Documentaire
Le Spécialiste — Gestion Documentaire relève du Gestionnaire Spécialiste — Gestion Documentaire. Il/Elle est responsable de la mise en œuvre de la gestion des documents selon le processus interne au niveau du projet. Il/Elle gère les livrables de la documentation du projet en utilisant les processus documentaire et l’outil de gestion. Il/Elle possède et tient à jour la liste des documents du projet. Le Spécialiste — Gestion Documentaire est responsable de son propre travail lié à la gestion de la qualité des documents relatifs au projet et de supporter l'équipe projet à livrer la documentation selon l’échéancier du projet.
Utilisation des procédures établies pour définir ou résoudre les problèmes liés à la définition et au déploiement du processus de gestion des documents dans le cadre d'un projet.
• Préparer la procédure de contrôle des documents du projet liée à la gestion des documents du projet
• Suivre les livrables de la documentation du projet
• Garantir la cohérence et la qualité de la documentation du projet
• Fournir assistance aux utilisateurs du logiciel de contrôle des documents
• Créer et maintenir les listes de documents nécessaires au projet.
• Gérez toutes les transactions relatives aux documents du projet pour l'entreprise en veillant à ce que toutes les informations pertinentes soient correctement enregistrées dans le système de gestion des documents
Aider le PED à assurer la liaison avec les clients et les partenaires afin de suivre les livrables de la documentation du projet
• Gérer le statut de retour de la documentation du projet par les clients dans le système de gestion des documents
• Maîtrise de l'anglais avancée
• Expérience minimale de 2 ans en gestion documentaire ou ingénierie
• Capacité et volonté de voyager à hauteur de 15 % du temps, y compris à l'international, et obligation de se conformer à toutes les politiques de l'entreprise en matière de voyages et de fiscalité.
Baccalauréat en documentation ou en ingénierie, ou d'une expérience équivalente
• Maîtrise du français avancée
• Bonne compréhension des processus d'ingénierie et des systèmes de contrôle des documents. Connaissance générale des termes techniques d'ingénierie. Connaissance pratique des logiciels suivants :
• Microsoft Office (Excel, Outlook, Word)
• Qualités :
• Solides compétences en communication au sein des membres de l'équipe de projet et de la direction
• Capacité à travailler en équipe sous la pression des délais de réalisation des projets.
