Position Purpose and Summary

The Borrower Services Supervisor: Norma Marion Alloway Library oversees the daily operations of the library, including borrower services, collection maintenance, and building operations. The position is to begin August 2024.

Working under the supervision of the University Librarian, the Supervisor provides leadership, advice, training and direction to regular library borrower services staff and student assistants and works cooperatively with professional librarians to provide excellent service to library users. The Supervisor also works with other campus departments to provide outstanding service to the campus community.

Key Areas of Accountability

Borrower Services

  • Manage and maintain the highest standards of customer service.
  • Hire, train, and supervise a team of regular staff and student assistants. Prepare staffing schedules and manage the daily operations and services of the borrower services department. Conduct performance reviews for all assigned staff.
  • Develop, update and maintain circulation policies and procedures and related documents including the policy and procedure manual and ILS configurations.
  • Work collaboratively with the systems librarian to conduct routine maintenance and administration tasks for the ILS.
  • Collect and compile circulation statistics.
  • Charge, discharge, and renew all library materials. Oversee reserves.
  • Create and maintain patron records. Coordinate with appropriate departments and staff regarding importation of patron records.
  • Oversee collection of fees and fines for overdue, lost, or damaged materials.
  • Resolve user problems and handle sensitive departmental communications and student/faculty information.
  • Provide patron assistance with basic computer and printing functions.
  • Coordinate with IT maintenance and trouble-shooting of public computers.
  • Liaise with staff in other departments to ensure a high level of service to library users.

Building Operations

  • Schedule operating hours for the library and communicate with affected departments (ex. Learning Commons, Security, Building Services).
  • Ensure the secure opening and closing of the library on a daily basis, including scheduling door schedules.
  • Assess and make effective use of study spaces to provide safe and effective facilities and environments.
  • Review and maintain accurate signage and wayfinding in the building.
  • Assess library facilities for safety, damage, and vandalism, and report deficiencies to the appropriate campus department.
  • Coordinate with other campus departments and the Administrative Assistant on campus events, both internal and external to the library.

Collection Maintenance

  • Create, implement, and evaluate collection maintenance programs.
  • Oversee regular shelf reading routine.
  • Collaborate with librarians on weeding schedule.
  • Plan and implement collection shifts.

Other duties may be required or assigned as library priorities and initiatives change.

Skills and Abilities

  • Commitment to excellent customer service.
  • Previous supervisory experience or an equivalent combination of education, training and experience in staff management.
  • Demonstrated skill in the use and management of various office and library software applications. Examples include, but are not limited to MS Office (Outlook, Word, PowerPoint, and Excel), SirsiDynix Symphony, and Canva.
  • Skilled and experienced in the handling of cash and operating point-of-sale machines.
  • Superior office management, organizational and prioritizing abilities.
  • Superior interpersonal skills with a wide variety of staff, faculty, students and off campus contacts.
  • Ability to maintain a calm, pleasant attitude under time-schedule, budget and personnel pressures.
  • High level of professionalism, tact, discretion, and confidentiality.

Standards & Requirements

Education : Recognized Library Technician diploma from an accredited post-secondary institution.

Experience : 1 – 2 years supervisory experience (in an academic library) required.
