Tikva Housing Society is a charitable non-profit housing society that provides access to
innovative and affordable housing solutions, primarily for Jewish individuals and families.
The Property Services Assistant (PSA) supports Tikva’s property management team in building
successful relationships with its tenants. The PSA is responsible for supporting the property
services team with various tasks related to administration, tenant rent calculations, service of
notices, preparing documentation for RTB hearings, and helping to foster successful tenancies.
The Property Services Assistant is responsible for:
- Preparing the tenancy agreement for each selected tenant and ensuring receipt of all documentation required for tenant sign-up.
- Setting up tenant files and entering relevant data in property management software.
- Maintaining up-to-date tenant files and ensuring files contain all necessary documentation as per operating agreements and policy.
- Updating tenant information in property management software.
- Entering work orders in the property management system.
- Assisting in the receipt and processing of maintenance requests.
- Preparing, submitting for approval, and sending notices to tenants for annual income reviews, notice of entry, and other notices.
- Administering the annual income review process, including:
- Communicating with tenants to receive and review documents.
- Calculating tenant rent contributions based on information received.
- Submitting completed rent subsidy forms to the PM for approval and sign-off
- Preparing notices to end the tenancy for authorization by PM.
- Preparing all required documentation for an RTB dispute resolution process when requested by the PM.
- Working with PM to complete and process Condition Inspection Reports.
- Post-secondary education in a business concentration or equivalent experience in non-profit housing or real estate.
- Minimum one (1) year of recent related experience in non-profit housing or real estate.
- An understanding of low-income housing, and experience working with people of limited
income. - Familiarity with the Residential Tenancy Act.
- Computer skills including full Office 365 suite.
- Experience working with Property Management software (an asset.)
- Ability to work independently as well as collaboratively as part of a team.
- Excellent organizational, interpersonal, written, and oral communication skills with a
strong attention to detail. - Experience working with non-profits, social, and affordable housing organizations is an
asset. - Ability to prepare written reports, as requested.
- Hebrew or Russian language proficiency is an asset.
- Demonstrates exceptional commitment to delivering the highest levels of service to tenants.
- Communicates and interacts professionally and sensitively, while maintaining the highest levels of confidentiality.
- Identifies and resolves problems in a timely manner.
- Excellent time management skills.
Physical : Primarily seated at a desk in the office.
Mental : Attention to detail, moderate periods of concentration.
Psychological : Engages in difficult conversations, with superior conflict resolution skills.
Environmental : Largely indoor work.
Hours of Work : 37.5 hours/week. Office hours are 8:30 – 4:30 PM Monday through Friday.
