Our client is a highly respected international business law firm with offices across Canada and the U.S. They are looking for a Manager, Legal Support & Student Programs to join their Calgary office. This role is responsible for overseeing the legal support function and, in coordination with the Director, managing law student recruitment and programs.


Key Accountabilities


Legal Support


Service Delivery and Team Engagement

  • Proactively obtain input and contribute to the development and implementation of office-wide service standards, including making recommendations for enhancements to ensure principals’ service requirements are met.
  • Manage work distribution to ensure equitable distribution across team. Manage the scheduling and approval of Paid Time Off (“PTO”) requests, leaves and other absences.
  • Work with principals and legal support to address any individual or interpersonal issues with open communication and shared problem solving.
  • Engage the legal support team through regular meetings and other means of communication to create and maintain a cohesive and positive work environment.


Recruitment/Onboarding

  • Manage the recruitment process in collaboration with the Human Resources Department including preparing and managing job postings, reviewing resumes, interviewing candidates and making staffing recommendations to the Director & Human Resources department.
  • Manage the onboarding and integration process, in coordination with principals.
  • Performance Management
  • Manage the performance review process including the collection of principal feedback and delivery of employee feedback through verbal real-time discussion, and written mid-year and annual review processes, and hosting review meetings.
  • Work with the Human Resources Department to create action plans to address any performance concerns, as required and on all matters relating to employee resignations and terminations.


Law Students


Recruitment

  • Work with the Student Committee and Director to determine 1L and 2L student recruitment strategy.
  • Lead the execution of that strategy, including:

-communicating process to interview teams and distributing appropriate materials

-updating recruitment materials and information cards

-liaising with school organizations and managing profile building sponsorships and events

  • Manage Vi Desktop (the student application portal) and complete a preliminary review of all resumes.
  • Coordinate on-campus and in-firm interviews, including organizing interview materials.
  • Attend Career Fairs representing the firm in coordination with students and junior associates.
  • Be the primary contact for prospective students throughout the recruit, including coordinating 2nd and 3rd round interviews.
  • Oversee post-hiring process for students, including background checks.


Summer Student Management

  • Manage the onboarding and integration of summer law students, liaising with our Toronto office respecting orientation where appropriate.
  • Be the primary human resources support for students throughout their summer terms.
  • Collect all feedback related to the summer review process and deliver reviews with associate mentors.


Articling Student Management

  • Manage the onboarding and integration of students, liaising with our Toronto office respecting orientation where appropriate.
  • Collect all feedback related to the articling student review process and complete first draft of review messages, for the Director’s comment and edit.
  • Act as a second point of contact to support law students throughout their articling year.


Legal Professionals

  • Assist the Director with the collection and drafting of feedback for law clerk and lawyer mid-year and annual reviews.
  • Act as a second point of contact to support the law clerk team and corporate services department.


Budget

  • Track office expenditures and work with the Director in managing Calgary office budget; note recurring annual and extraordinary expenditures.


Attributes & Experience

  • Human Resources diploma from a recognized post-secondary institution would be an asset.
  • 5+ years’ experience as a supervisor or manager, preferably within a law firm or professional services firm.
