As a project coordinator, you’ll be a rock to clients and freelancers, keeping each project on track and organized. We are the agency built for multinational consulting companies. We work with clients around the world to build market authority, bolster authenticity, and increase trust. We’re experts at making intangibles real, and turning intelligence, experience, and expertise into marketable products.


What does that really mean? We deliver workshops, writing, design, animation, video production, and web development services. We’re always working across a number of different media, meaning every day is unique.

They enjoy working with clients and freelancers from all over the world, convening teams to deliver a variety of creative projects. They're comfortable working across time zones and cultures from Toronto to Singapore, and bring a global, intellectual lens to everything they do.


In this role you’ll responsible for:

Project Management:

  • Schedule and manage projects, tracking and overseeing deliverables and timelines from initiation to delivery.
  • Maintain consistent, proactive, and highly professional client communication, including scheduling and leading client meetings.
  • Manage project freelancers from booking and estimating effort to ensuring work is completed and delivered to clients on-time. Book and run internal sessions as needed.
  • Manage client feedback cycles, proactively preventing against out-of-scope effort and checking freelancer work (alongside creative director) to ensure all notes have been actioned.
  • Create SOPs; iteratively improve project management and operations procedures from project to project.


Communication:

  • Maintain effective communication with clients and freelancers regarding deadlines, deliveries, updates, and concerns.
  • Attend internal and client creative review meetings and summarize action items and next steps for the team.
  • Interpret and provide clear feedback from clients and internal stakeholders to freelancers.
  • Source creative freelancers from personal network when needed.


Administrative Tasks:

  • Create and manage contracts for freelancers for each project.
  • Assist with business operations projects such as website updates, SEO, and content creation.
  • Support business development activities by attending pitch meetings, creating speculative timelines, assisting with quote building, and more.


This role is one of the first in a small start-up. Responsibilities might vary depending on business needs.

Required Experience:

  • 3-5 years experience in project coordination or similar role(s) in an agency or equivalent setting.
  • Clear, concise, and highly professional verbal and written communication skills.
  • Excellent interpersonal and client management skills.
  • Strong organizational and time-management abilities.
  • Proficiency in project management tools and software (Notion preferred).
  • Ability to work independently and prioritize tasks to be effective, not just efficient.
  • Desire to continuously learn and grow.


Ideal Experience

  • Experience working in consulting is a bonus.
  • Experience in video production is a plus.
  • Experience as a writer is a plus.
  • This is a remote job, but preference will be given to candidates who live near enough to Toronto to be able to attend photography / video shoots in person, as required.
