Summary of responsibilities

At Covalen, being a receptionist is much more than welcoming visitors - it's being an ambassador for our brand and a pillar of our operational excellence Reporting to the Office Operations Manager, the incumbent is responsible for ensuring that customers and guests are welcomed and well directed around the company, and for carrying out all administrative tasks to the highest quality standards.

Specific responsibilities

1. Greet visitors;
2. Ensure a high level of internal and external customer service;
3. Receive, screen and route telephone calls;
4. Receive / send and sort mail;
5. Help with the organization and logistics of various events and activities;
6. Work closely with the administration team;
7. Process and manage cheque payments
8. Assistance to finance team and tasks related to collection and payables.
9. Manage reception emails;
10. Scan all incoming mail;
11. Administrative support to department assistants;
12. Data entry into our various systems;
13. Any other related tasks.

Requirements

1. Minimum 2 years experience as a receptionist;
2. Proficiency in MS Office suite;
3. Bilingualism (French and English).

3. Autonomy and initiative: Ability to identify opportunities for action or improvement.
4. Judgment and problem-solving: identify key issues and consider various solutions.
