POSITION SUMMARY

The Transport Billing Specialist is a key member of the Finance team. This role provides a variety of billing functions, with the primary goal being to ensure our customers are invoiced accurately, and in a timely manner. Key duties include validating invoice details, reviewing supporting paperwork, investigating, and resolving billing discrepancies. This position works closely with our Operations team as well as other Finance members to maintain the integrity of all financial operations.

We are a growing organization and currently looking for a passionate and motivated Administration Associate to join our winning team.

Employment Type: Full Time

Shift: Day 8am - 4pm Monday to Friday

Reports To: Administration Supervisor

Office/Facility: Great Plains Facility (Calgary, AB)

KEY RESPONSIBILITIES  

Process a high volume of invoices for all transportation invoices on a daily basis adhering to a specified schedule. Liaising with Corporate Transportation related to invoice approval procedures.  Process all warehouse and transportation invoice integrations from Operating Systems into Finance System. Liaising with IT Support for troubleshooting when required and adhering to a specified weekly and monthly schedule.  Sort and distribute invoices and summaries via e-mail, mail and courier. Generate custom summaries as required.  Identify invoices with missing required back-ups, maintain a missing back-ups list. Liaise with Transport Operations regularly to provide an updated list for Operations reference and action.  Monitor and receive emails requests for invoicing enquires and issues. Complete an investigation and Rebill as required  Processing Accessorial charges based on Driver Trip Sheets  Monitoring and Updating Customer portals as required  Perform daily/weekly Billing Consolidations Perform other duties as required 

KEY REQUIREMENTS  

Working towards completion of CPA designation or an accounting diploma graduate. Able to manage priorities in a fast-paced environment in order to meet deadlines.  Superior organizational, interpersonal, multitasking, analytical, prioritizing and communication skills – both verbal and written.  Must be a team player combined with a strong sense of collective responsibility, high individual motivation and self-direction.  Strong interpersonal skills and the ability to relate to and work effectively with a wide range of people, both internal and external to the organization. Understands the need to build positive, proactive working relationships.  Known for a strong focus on meeting internal and external customers need. Able to instill a visible sense of pride in serving the customer at all levels.
