Reporting to the Registrar, the Academic Systems Manager (ASM) is responsible for overseeing the Student Application System (SLATE) and other enrolment systems integration. The role is directly responsible for planning, creating, implementing and testing processes within the University CRM that will have a direct, positive impact on conversion rates from application to registration. The aim is to improve the functionality of the University’s CRM SLATE system to track student applications and maintain an elevated level of contact throughout the application process.

The ASM consults, analyzes and documents business processes to support the development and enhancement of information systems at the University of King’s College. The ASM provides subject matter expertise for the implementation and continuous adoption of GradApp (Slate) in support of all applicant conversion activities of the University.

The ASM is responsible for optimizing the student and administrative experience as well as analyzing current systems in support of the full student lifecycle. The ASM will collaborate with admissions unit representatives to understand business processes and requirements, to make recommendations for enhancement and streamlining, to develop unit and user acceptance testing processes, to develop and maintain training programs and associated documentation. The position effectively uses and builds expertise in the University’s student information systems Banner and complementary technologies such as Salesforce, Microsoft Office Suite, to accomplish tasks.

The ASM will work collaboratively with Dalhousie University’s Registrar Office and IT Team, and the IT & AV Officer at the University of King’s College, to ensure high-quality consultation, analysis, development and execution of enhanced business processes and appropriate IT solutions. The ASM will conduct research and analysis, synthesize findings to support improvements, prepare documentation, and provide recommendations and advice.

SPECIFIC DUTIES/ACCOUNTABILITIES:

Develop and execute the Student Application Conversion Rate project plan. In consultation with Ellucian and CSD, develop business processes to introduce efficiencies into the CRM to assist with enrolment goals. Analyze and make decisions on Recruit – Colleague integration and smooth flow of admission data to relevant systems within the university. Review and migrate existing workflows to new communication plans. Implement system updates, including application form(s) and fields. Develop necessary policy and processes that will guide and train future staff on creating communication plans. Build and test communication plans and other new applications. Consult with CSD on data security and integrity and ensure related principles are included in all aspects of design and implementation. Submit regular project progress reports to the Registrar. Advise on developing communication and/or marketing tools and materials that will fit into strategic recruitment plans. Create synergy between Social Media, Communication and Event modules to execute an effective communication plan, and report on agreed upon KPIs. Research additional Recruit capabilities to aid in meeting project objectives. Research marketing communication strategies and apply via Communication Plans. Advise University departments on current policies and procedures to ensure effective use of Recruit. Report system upgrades through KPIs. Troubleshoot system errors related to communication plans, application forms, etc. Analyzing and documenting business requirements. Assessing needs and contributing to the development of business systems. Writing complex specifications based on system requirements. Developing and implementing application and/or system testing plans and scenarios. Testing business applications to ensure reliability. Liaising with stakeholders to support initiatives. Analyzing administrative processes and procedures and recommending changes for improvement. Consulting with clients regarding the development of project scope and resources. Training end-users on procedures and the use of supported IT systems. Perform other related duties to ensure project deliverables are met.

QUALIFICATIONS

Education and Experience

Bachelor’s Degree with concentration in Computer Science, Business Management and/or Marketing or an acceptable combination of equivalent experience. Five years minimum related experience in post-secondary university admissions, or other related experience is required. Marketing/communication and customer relationship management (CRM) systems experience is essential. Expert knowledge of Technolutions SLATE platform or related platform is a requirement. Must have proficiency in Student Information Systems (preferably Banner/Slate/Crystal Reports), Microsoft Office, Word, email, presentation software, website design and social media marketing including relevant knowledge of marketing to youth cohorts, and a familiarity with databases. Experience with business process analysis, writing technical specifications and use cases, optimizing and implementing new systems is essential. Proven record of successfully managing projects, working independently, analyzing data and meeting deadlines is required. Must have exceptional written and verbal communication skills, including public speaking, with the ability to communicate effectively and tactfully with students, faculty, staff and the public. Must have excellent interpersonal skills with strong intercultural sensitivity and cross-cultural communication skills, with a commitment to a student-centred ethic. Strong leadership skills in a work environment that requires proactive and creative approaches to problem solving is essential. Must have the ability and inclination to keep technical skills up-to-date and relevant. Must have the ability to learn quickly from reference manuals and online help facilities. Demonstrated ability to exercise judgement and work independently with minimal supervision. Must have excellent organizational skills and the ability to multi-task in a busy, often hectic environment. A meticulous eye for detail and design, and the ability to proofread accurately is an asset. Ability and willingness to work flexible hours is an asset. Knowledge of University student recruitment and admissions procedures, as well as the ability to communicate in both official languages would be a definite asset.

Closing Date: June 25, 2024

Salary will be commensurate with level of education and experience. The starting salary range is $72,471 to $82,313 annually. A comprehensive group benefits package is offered including membership in the Nova Scotia Public Service Superannuation Plan (PSSP).
