SUMMARY:

The Warranty Administrator is responsible for providing administrative support to the Service and Warranty department, liaising with internal and external customers, and ensuring the department runs efficiently on a day-to-day basis.

POSITION REQUIREMENTS/QUALIFICATIONS:

Education/ Certification:  

  • Post-Secondary Diploma in Business Administration, a related program OR equivalent experience
  • Valid driver’s license with a clean driver’s abstract

Experience:

  • 3+ years’ experience in a Warranty Administrator position or a related Administrative role
  • Experience providing Administrative support to a department
  • Experience preparing and opening/ closing work orders
  • Advanced experience using MS Office Suite, with a focus on Microsoft Word, Excel and Outlook
  • Mechanical aptitude or previous exposure to a heavy equipment work environment is an asset 

 

POSITION RESPONSIBILITIES:

  • Ensure optimal efficiency and customer service
  • Work with factory representatives to ensure 100% capture of all warranties
  • Work with the accounting department to ensure factory accounts are in good standing
  • Ensure on-time billing for all warranty claims
  • Process warranty claims for all products within North American branches
  • Resolve and/or escalate and report warranty patterns and concerns
  • Maintain positive customer relations
  • Ensure all reasonable billing is accounted for prior to closing work orders
  • Assist with the return of defective parts to various factories as requested
  • Assist with the processing of credits for warranty claims
  • Recovery of inbound and return freights for warranty parts
  • Assist with Parts department as required
  • Follow-up with factories on unpaid claims
  • Follow-up with all branches on WIP
  • Reconcile factory statements and aging report
  • Assist with the distribution and follow-up of Technical Bulletin updates and recalls

  • Cooperate with their workplace’s Safety Committee or health and safety representative
  • Use any safety equipment, protective devices or clothing required
  • Not remove or make ineffective any protective device required by the Company or by the regulations.
