PURPOSE OF JOB: Support the Project Manager in driving the implementation of the Business Operations Transformation (BOT) end-to-end Target Operating Model underpinned by SAP S/4 HANA and Ariba technology defined in a Global Template. Ensures the project adheres to Programme Governance set by PMO and manages the planning and reporting for project according to BOT ways of working and tools connected. ASSIGNMENT: Job specific key tasks and responsibilities Key Tasks:
  • PMs right hand/stand-in in key Governance forums and ad-hoc meetings - to drive issues, actions and risks to closure. Taking lead on specific points of attention on behalf of Project Manager
  • Scope Management: support PM with alignment within Central Team (Solution, Test, etc.); Countries question management
  • Country Master Plans interaction with Country transformation team and country engagement on changes in Tactical plan impacting country master plans
  • Risk & Issue Management follow up existing ones, secure that new ones are raised by project team as per defined Ways of Working by central PMO
  • Resource Planning support Project Manager as per defined WoW by central PMO
  • Financial reporting work with BN & Resource Manager to ensure tracking of project costs on a monthly basis
  • Project Governance set up determine set up, secure preparation, facilitation, right participation and follow up on action points Kick off, Project Meetings, Stage Gates (incl. Go live scorecard), Checkpoints, Tactical Meeting, Country meetings, One Step ahead etc.

Responsibilities:
  • When needed, support the commercial team with deep analysis and input when it comes to System Integrator (Client) CRs and SOWs
  • Tactical Plans (Milestone/One page plan) be part of creation, support with facilitation, secure maintenance.
  • Delivery Responsible Matrix (DRM) and Operational Plans (MSPs) facilitate creation/update of DRM and secure needed alignment (internally & externally); secure creation/update of MSPs, perform quality review of Project MSPs on bi-weekly basis.
  • Solution Manager (SolMan) and/or Jira deliverables regular follow up that agreed project deliverables as per DRM stored in SolMan and Jira by project team.
  • SharePoint management New sites/pages support in creation, access management to project specific pages
  • Support PM in adhering to Ingka One Plan implementation and regular maintenance of project progress data.
COMPETENCES Capabilities and Knowledge
  • Ability to work in a diverse international and distributed team a must
  • Knowledge of multiple project management methodologies
  • Strong communication and ability to balance conflicting needs
  • Excellent knowledge of written & spoken English
  • MS Office (esp. MS Project, Excel) must
  • Strong stakeholder management across all levels a must
  • Power BI & Solution Manager (preferable).
  • Prince2, PMI Practitioner or equivalent a plus
Key previous experience and proven skills
  • Project Support professional with project / programme experience on large-scale Global Business Transformation programs (min. 3 yrs).
  • SAP S4 Hana Implementation experience in large multi-cultural organisations
  • Global Business Transformation and Change Experience
  • Global experience of working with SI delivery
  • Experience in complex programme environments involving multiple system integrators operating with a global delivery model
