The Municipal Group of Companies is a large, diversified organization engaged in all major aspects of the heavy civil construction, mining, and environmental services within the Atlantic Provinces. We are currently seeking a detail-oriented Document Specialist to join our Accounting Department based out of Bedford, NS.

Job Summary:

The Document Specialist will oversee the documentation for our accounting software. The ideal candidate will have a foundational understanding of accounting principles and technical writing, with the ability to produce and maintain clear, accurate, and user-friendly documentation for users of our accounting systems.

Primary Duties and Responsibilities:

Create, edit, and maintain user manuals, training materials, FAQs, and standard operating procedures for the accounting software.Ensure all documentation is accurate, comprehensive, and tailored to meet the needs of both technical and non-technical users.Develop and document accounting processes and workflows to ensure consistency and compliance with regulatory standards.Update and improve existing documentation based on user feedback and changes in accounting regulations or software updates. Review documentation for clarity, accuracy, and adherence to internal standards and best practices.Collaborate/Communicate with accounting and finance teams to ensure all procedural documentation is accurate and reflects current practices. Provide training sessions and support for staff on the use of accounting software and related documentation.Create and maintain training materials that facilitate user onboarding and ongoing education.Work closely with software developers, accountants, and other stakeholders to gather information for documentation.Act as a liaison between technical and accounting teams to ensure documentation accurately reflects system capabilities.Manage the document control process for accounting documentation, including versioning, approvals, and distribution.Implement and maintain document management systems for easy access to all accounting-related documents. Other duties as assigned.

Required Knowledge, Skills, Abilities, Education, and Experience:

Bachelor’s degree in business administration, Computer Science or computing application or a related field.Proven experience in technical writing or documentation.Proficiency in documentation tools and software (e.g., MS Office, Google Workspace, documentation management systems).Excellent attention to detail and strong analytical skills.Effective communication skills and a proven ability to work collaboratively in a team environment.
