Learn more at Position Summary The Unit Clerk II works independently and as part of the clerical and interdisciplinary care team to provide clerical support, communication, and coordination to facilitate integrated patient care across emergency departments, inpatient units, and outpatient clinics. The role supports patient services and maintains a personalized health‑care environment for patients. Responsibilities Receives and triages incoming patient and clinician calls, directs or redirects calls, and relays messages as required. Serves as the “friendly face,” greeting patients and families, answering questions (e.g., food services, parking, etc.). Replenishes and restocks personal protective equipment and other supplies, monitors inventory, and submits requisitions using SAP/Grand &Toy. Coordinates patient transport arrival and departure times, updates estimated date of discharge (EDD) on Epic Unit Manager, and prepares downtime packages for EPIC updates. Completes bi‑weekly payroll functions and facilitates staffing/scheduling needs for the department, producing schedules in EZ Schedule or Excel. Faxes documents (prescriptions, discharge summaries, referrals), verifies patient demographics and contact information, and maintains patient charts. Arranges virtual rounds, multi‑departmental meetings, interpreters, and ensures Business Continuity Access bins are stocked. Scans, indexes, and uploads documentation into the electronic medical record within the required turn‑around time. Supports unit audits, records data for reporting, and assists care teams in improving patient safety. Proactively updates staff on patient needs, supports patient transport, and participates in emergency codes per the Emergency Measures Manual. Provides way‑finding assistance, MyChart support, and orientation to patients/families on admission. Manages locked unit access, coordinates with Environmental Services, and expedites inter‑unit patient transfers. Uses screening tools to assess eligibility for entrance and communicates via the In‑Basket and overhead intercom as needed. Other Training and orientation of new staff. Cross‑coverage. Calm, efficient handling of emergency situations. Assists with special corporate initiatives such as accreditation. Other duties as assigned. Requirements Medical terminology certificate required or completed within 3 months of hire. Graduate of a Medical Office Administration Program or equivalent post‑secondary education and/or experience. Strong knowledge of medical terminology within 3 months of hire. Keyboarding/computer skills with minimum 35 wpm and 80 % accuracy (skill test). Experience in Clinical Information Systems, MS Word, and medical terminology (skill test). Strong customer service, organizational, time‑management, prioritization, and multi‑tasking skills. Excellent interpersonal, communication, and documentation skills. Initiative, stewardship, teamwork, problem‑solving, and critical‑thinking skills. Fluency in verbal and written English. Continual pursuit of education and willingness to seek guidance when needed. Commitment to SHN’s Code of Conduct, safety programs, and a healthy workplace. Strong work ethic, high standards, punctuality, professionalism, and reliability. Asset Minimum one‑year registration experience in a hospital setting. Experience using Electronic Medical Records, EPIC, and/or SAP. Ability to speak a second language.
