Position Summary The Document Control Coordinator shall be responsible for coordinating all activities related to the Document Control procedure (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence. The Coordinator will follow up with discipline personnel for action items, ensure document data accuracy in compliance with procedures and policies, maintain confidentiality around sensitive information, manage the flow of documentation within the organization and with external project entities, retrieve files as requested, create and manage electronic workflows, review document quality and proactively address issues, collaborate with other documentation teams, prepare ad-hoc reports on projects, provide training and support to new project team members, identify and escalates system or processing issues to the Document Control Manager, capture metadata accurately in EDMS systems, meet established turnaround times, and assist with post-construction document archival and retention in alignment with Project Agreement specifications. Responsibilities Coordinate all activities related to the Document Control procedure (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence. Follow up with all discipline personnel for action items. Ensure document data accuracy in compliance with implemented procedures and policies. Maintain confidentiality around sensitive information and terms of agreement. Manage the flow of documentation within the organization and with external project entities. Retrieve files as requested by individuals from different disciplines. Create and manage electronic workflows. Review document quality and proactively address issues. Collaborate with other documentation teams to ensure consistency and efficiency. Prepare ad-hoc reports on projects as needed. Perform other duties as required. Assist in providing training and support to new project team members on document control practices. Identify and escalates system or processing issues to the Document Control Manager in a timely manner. Ensure high accuracy in capturing metadata in both project and client EDMS systems (e.g., Aconex, Unifier) in accordance with reporting and auditing requirements. Meet established turnaround times for processing and distributing documentation. Assist with post-construction document archival and retention in alignment with Project Agreement specifications. Education And Qualifications Completion of a post-secondary education—Bachelor’s degree or College Diploma preferred—or an equivalent combination of education, training, and experience in Document Management or a related discipline. Minimum 3–5 years of document control experience in a construction project or site-based environment. Proven experience in computerized and/or manual document control management, preferably within the engineering or a related industry. Strong organizational skills and attention to detail. Proficiency in document control software and Microsoft Office Suite. Ability to work independently and collaboratively in a fast‑paced environment. Job Requirements Experience in various electronic drawing file formats. Advanced proficiency with applicable software applications such as Aconex, Unifier, Autodesk Construction Cloud, MS Office, Adobe Acrobat Professional, SharePoint. Solid understanding of project documentation and engineering terminology. Strong written, verbal, communication, and interpersonal skills. Fluency in English. Exceptional organizational skills, with a proven ability to meet deadlines in a fast‑paced environment. Prior experience in using electronic document management (Autodesk Construction Cloud, Aconex and Unifier preferred) as well as in processing both design and vendor documentation. Ability to document work tasks (e.g., work instructions). Experience working in a site / project team environment with the proven ability to build relationships with immediate and remote team members, clients and stakeholders.
