About the Position The Payroll & Benefits Supervisor oversees the accurate and compliant administration of payroll and benefits across multiple employee groups, including unionized and seasonal staff. This role ensures system integrity, supports legislative compliance, and contributes to financial reporting and operational efficiency. The Supervisor works collaboratively with HR, Finance, and external vendors, provides guidance to payroll staff, resolves complex issues, and leads process improvements. Key Responsibilities Lead the accurate and timely processing of biweekly and monthly payrolls for all employee groups. Oversee complex payroll calculations (salary prorations, retroactive adjustments, deductions, benefits, advances). Review and approve payroll journal entries, ensuring transactions are balanced and reconciled. Monitor and reconcile payroll‑related accounts (PD7A, EHT) and ensure compliance with financial reporting standards. Balance payroll accounts and perform monthly reconciliations with the general ledger. Direct year‑end payroll processes, including reconciliation and submission of T4s, T2200s, and Form 7s. Ensure payroll practices adhere to applicable legislation, collective agreements, and internal policies. Validate payment forms and database entries for accuracy and compliance. Coordinate with external agencies and vendors to meet audit and reporting requirements. Safeguard confidential employee and payroll information in accordance with privacy legislation. Maintain integrity of payroll, benefits, and critical business systems, leading upgrades, testing, and process improvements. Collaborate with HR and IT to support system enhancements and ensure alignment with operational needs. Oversee data extraction and reporting from payroll systems, ensuring accuracy for stakeholders. Develop and maintain tools (spreadsheets, dashboards) to support reconciliation, reporting, and analysis. Supervise payroll team activities, providing coaching, training, and support on policies, procedures, and system use. Act as first point of escalation for complex payroll issues. Partner with HR to support union‑related reporting, seniority list maintenance, and employment verifications. Foster a collaborative and inclusive work environment that supports continuous learning. Lead the development and implementation of new payroll processes (cut‑off dates, test/live pay cycles). Draft and review payroll‑related communications, reports, and documentation. Communicate updates on tax legislation and payroll implications to departments and employees. Perform additional duties as assigned that align with the scope of the role. Qualifications At least a 2‑year college diploma or higher in Accounting, Business, Human Resources, or related disciplines; or equivalent combination of work experience, training, and education. Three or more years of payroll experience, including at least two years in a supervisory/leadership position. Payroll Compliance Professional (PCP) certification from the NPI. In‑depth understanding of payroll legislation (Ontario Employment Standards Act, Income Tax Act, EHT, WSIB, CRA reporting). Familiarity with collective agreements and unionised payroll environments. Knowledge of benefits and pension administration, including disability claims and vendor coordination. Understanding of payroll accounting principles (journal entries, GL reconciliations, cost allocations). Strong time‑management and organisational skills to meet recurring deadlines. Capacity to manage multiple priorities and adapt to changing operational needs. Experience in identifying and implementing process improvements. Demonstrated ability to supervise and support a team. Effective communication skills (reports, correspondence, training materials). Skilled in resolving complex issues with professionalism and discretion. Ability to collaborate across departments and external vendors. Proficiency in payroll systems such as ADP, NAV, or equivalent platforms. Advanced Microsoft Excel skills (pivot tables, formulas, data validation). Strong numerical accuracy and attention to detail. Ability to interpret and analyse payroll data. Intermediate proficiency in Windows, Microsoft Excel, Word, Outlook. Proficiency with ERP systems such as MS Dynamics Navision or MS Business Central.
