Eagle Lake Wedding & Event Centre and Sir Sam’s Ski/Ride “the business” is looking for a Director of Sales and Events. We are seeking an energetic and talented individual who enjoys putting smiles on our guests faces. It is our goal to create unforgettable events that leave lasting memories forever

Our three-season business offers a wide range of events during the summer, fall and winter. This includes weddings, corporate galas, prom nights, fall color season events as well as our ski season events. As the Director you will be responsible for conceptualizing, selling, planning and executing a wide range of events, from start to finish. Your creativity, communication and organizational skills, teamwork and ability to handle multiple tasks simultaneously will be essential in ensuring the success of each event. You will have the opportunity to work collaboratively with our Marketing team, our Food and Beverage staff and our Operations staff.

Event and Wedding Sales/Coordinator Responsibilities:

· Identify and sell approximately 10 to 15 Weddings a year.

· Attend wedding shows as required and promote Eagle View as a unique wedding and event venue.

· Respond to initial client inquiries and act as the main point of contact for clients throughout the wedding planning/consultation process.

· Collaborate with clients to understand their wedding objectives, timeline, preferences and budget.

· Share generic wedding packages with clients as an overview of our offerings and work with them to understand their vision and then customize their event and pricing model.

· Provide quotes and negotiate through to final contract and manage invoicing set-up.

· Provide site tours.

· Host tastings for the Bride/Groom.

· Collaboratively finalize itinerary, menus, seating charts, and overall venue setup in alignment with clients' expectations.

· Work with our Food and Beverage and Operations teams to ensure all needed coordination is completed.

· Provide regular updates and address any concerns or changes promptly.

· Liaison between the client & chef to ensure all the details are communicated accurately.

· Oversee event execution and all site-specific logistical details, ensuring that all details are completed according to plan and expected timelines. Work with the couple’s wedding planner if applicable.

· Coordinate wedding rehearsals and provide on-site support on wedding day for bridal party and all guests.

· Conduct post-event evaluations to gather feedback and identify any areas for improvement.

· Work with our marketing team to develop our marketing programs, update our website and ensure we have a regular stream of relevant social media content being posted.

· Maintain a detailed pipeline of wedding opportunities and a detailed master calendar of sold weddings.

· Maintain and provide contact lists for wedding vendors (florists, entertainers etc.) to assist clients in selecting vendors.

· Maintain our accommodators listing and relationships.

Event Planner Responsibilities:

· Respond to client initial event inquiries and act as the main point of contact for clients throughout the event planning/consultation process.

· Promote Eagle View and Sir Sam’s as an event venue.

· Collaborate with clients to understand their event objectives, timeline, preferences and budget.

· Develop creative concepts and themes for events that align with the ski hill seasonal objectives such as our Fall Festival, Men’s and Ladies’ Day, Family Day and March Break activities.

· Coordinate musicians for weekly entertainment throughout the ski season (Apres Ski each Saturday night)

· Execute venue décor when appropriate for each event - set up and take down.

· Price events and manage the quote through to final contract agreement and invoicing set-up.

· Provide regular updates and address any concerns or changes promptly.

Requirements:

· Proven experience in event planning and coordination, with a strong portfolio showcasing successful events/weddings.

· Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors and team members.

· Exceptional organizational and time management skills, with a keen eye for detail.

· Creative thinking and the ability to generate innovative ideas and concepts.

· Strong negotiation and problem-solving skills, with the ability to adapt to changing circumstances, navigate challenges and overcome obstacles in a professional and efficient manner.

· Proficiency in MS Office

· Flexibility to work evenings and weekends as required by event schedules.
