About the Company Our client is a leading and well-respected law firm known for its commitment to excellence and client service. This role requires only 2 days in office . With a strong focus on Labour and Employment law, the firm has built a reputation for providing practical, strategic, and high-quality legal services. Responsibilities Provide comprehensive administrative and clerical support to assigned lawyers. Schedule appointments, arbitrations, and appearances, and coordinate meetings and conferences. Receive, prioritize, and track incoming correspondence and deadlines. Manage the flow of work through the lawyers' offices, including handling routine correspondence and follow-ups. Prepare, format, proofread, and review legal documents and correspondence to ensure accuracy and compliance with legal procedures. Prepare and file forms with the Ontario Labour Relations Board (OLRB), Grievance Settlement Board (GSB), and Human Rights Tribunal Ontario (HRTO). Arrange for service and filing of legal documents. Process invoices, expense reports, and prepare file status and work-in-progress reports. Maintain filing systems, including a tickler system, and ensure proper file opening, maintenance, and closure procedures. Enter dockets and prepare time summaries and reports as needed. Make travel arrangements for lawyers. Provide support to other lawyers as required. Requirements 3-5 years of legal administrative experience, ideally in Labour and Employment law. Strong knowledge of Labour Board procedures and timelines. Excellent written and verbal communication skills, with strong attention to grammar and detail. Highly organized with the ability to prioritize tasks, meet deadlines, and adapt to changing priorities. Proven ability to work independently and collaboratively. Strong discretion and ability to handle confidential information. Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Pro, and experience with document management and time entry systems (e.g., NetDocuments, Soluno) considered an asset. Accurate keyboarding skills (55+ wpm). Demonstrated sound judgment, professionalism, and a strong work ethic. Ability to work overtime when required.
