Job Details: Job Title: Contracts and Proposal Administrator Location: Abbotsford, BC Job Type: Full-Time Client: Aerospace industry Job Summary: This position plays a critical role in supporting multiple internal departments including business development, operations, engineering, and program management by ensuring that contractual obligations, proposal processes, and documentation practices align with organizational standards, risk management protocols, and financial objectives. Although the role operates within an aerospace environment, prior aerospace experience is not required. The core competencies contractual diligence, legal understanding, documentation accuracy, and strong administrative capability are highly transferable across industries. Professionals with a foundation in contract law, compliance, negotiation, or legal administration will thrive in this position. Contracts & Proposals Administration • Ensure adherence to internal contract and proposal policies and procedures. • Prepare summaries of executed agreements, outlining key obligations, risks, and deliverables. • Maintain and update the contracts and proposals database with accuracy and timeliness. • Identify and analyze issues related to contracts and proposals, providing effective solutions. • Manage renewals, amendments, and documentation in alignment with contract lifecycle requirements. • Monitor legislative, regulatory, and compliance obligations to support risk mitigation and business continuity. • Provide cross-functional support, using legal and contractual expertise to enhance operational efficiency. Business Support • Assist finance and internal teams with invoice validation and payment-related processes. • Collaborate with colleagues across departments to gather and organize data related to contract and business needs. Professional Conduct • Uphold organizational values through professionalism, integrity, and collaboration. • Maintain strong communication with internal and external stakeholders at all levels. • Perform additional administrative or departmental duties as required. Core Competencies • Exceptional written and verbal communication skills. • Strong attention to detail with excellent organizational capabilities. • Proficiency with MS Office and collaboration tools (Word, Excel, PowerPoint, Outlook, Teams). • Ability to manage multiple priorities in a fast-paced environment. • Proven discretion with confidential information. • Ability to function independently with minimal supervision and add immediate value. Education • Certificate in Legal Administrative Studies, Legal Office Administration, or equivalent (required). • Diploma in Legal Studies, Paralegal, Business Law, or related field (asset). Experience • Ideally 1-3 years of experience in high-volume contract or proposals administration within a fast-paced environment. • Experience in aerospace is beneficial but not mandatory skills in contract management, legal compliance, and risk mitigation are the true requirements.
