Job description MTLI Group is a North American turnkey provider specializing in racking installation, warehouse automation, commercial moving, and construction services. We manage large-scale installations, relocations, decommissions, and full facility fit-outs across Canada and the USA. We are seeking a Field Operations & Dispatch Manager to oversee the daily planning, scheduling, and coordination of crews, equipment, and active projects across all MTLI divisions. This role serves as the operational hub—ensuring the right people, tools, and materials are deployed to the right site at the right time. ⸻ Role Summary The Field Operations & Dispatch Manager is responsible for creating and managing the master schedule, dispatching field crews, supporting project teams, coordinating equipment, and maintaining clear communication across all stakeholders. This role requires strong organization, quick problem-solving, and the ability to manage multiple crews and sites simultaneously in a fast-paced environment. ⸻ Key Responsibilities Planning & Scheduling • Build and maintain the master schedule for all field crews across racking, automation, moving, and construction projects. • Assign crews, supervisors, and subcontractors based on skills, certifications, and availability, including Red Seal or trade-certified personnel where applicable. • Coordinate all equipment and tools (forklifts, boom lifts, scissor lifts, trucks, specialty tools). • Balance team workloads to reduce downtime and maximize productivity. • Review upcoming jobs daily/weekly with project managers and operations leadership. Dispatch & Daily Operations • Dispatch crews and equipment to job sites daily with accurate site contact, access, and address details. • Prepare and distribute daily work orders, job packs, and scope documentation. • Act as the main point of contact for supervisors throughout the day for schedule, manpower, or scope changes. • React quickly to delays, call-ins, add-on work, or equipment issues and adjust schedules in real time. • Track crew start/finish times, attendance, and shift changes. Coordination With Project Teams • Collaborate closely with Project Managers to understand timelines, milestones, and manpower needs. • Ensure field teams are aware of site rules, safety requirements, and client-specific instructions. • Support PMs with manpower and equipment planning during estimating and job award phases. • Identify scheduling conflicts or resource gaps early and propose solutions. Equipment & Fleet Coordination • Maintain a clear log and schedule of all rented and owned equipment. • Coordinate equipment deliveries, pickups, and transfers between sites. • Work with vendors to secure rentals and manage off-rent dates. • Track equipment utilization and report under/overuse. Administration & Systems • Keep all scheduling and dispatch information updated in MTLI's internal systems. • Maintain accurate lists of all active projects, crews, subcontractors, and equipment. • Support timesheet collection and verification by cross-referencing schedules with field reports. • Contribute to developing and improving SOPs for scheduling, dispatch, and manpower planning. Safety & Compliance • Assign only properly trained and certified personnel to tasks requiring tickets (forklift, boom lift, etc.). • Communicate key safety expectations and site requirements to field supervisors before deployment. • Report recurring safety or compliance issues to Operations or HS&E. ⸻ Experience & Qualifications • 3–5+ years of experience in field operations, dispatch/logistics, construction, industrial installation, warehouse racking/automation, or commercial moving. • Experience scheduling multiple crews (5–20+ crews) across multiple active sites. • Strong understanding of field operations: mobilization, site access, equipment requirements, shifts. • Experience working with skilled trades or Red Seal–certified personnel is an asset. • Proficiency with scheduling tools (Excel/Sheets, dispatch or project management software). • Valid driver's license; ability to visit sites as required. • Ability to work effectively in a high-pressure, fast-changing environment. ⸻ Skills & Competencies • Highly organized with exceptional attention to detail. • Strong communication skills—clear, concise, and direct. • Calm under pressure with strong problem-solving ability. • Able to manage shifting priorities throughout the day. • Accountability-driven, team-oriented, and committed to operational success. • Confidence in holding crews, subcontractors, and vendors accountable to schedules. ⸻ Performance Metrics • High rate of on-time crew and equipment arrivals. • Minimal last-minute scheduling issues or client disruptions. • Efficient use of labor and equipment with reduced idle time and unnecessary rentals. • Consistent and clear communication with supervisors, project managers, and leadership. • Improved manpower forecasting and fewer scheduling conflicts.
