Pay Range

OPSEU/VHA Pay Scale Level 4B—$24.44 per hour

As a Health Services Scheduling Coordinator, you will help our clients maintain their independence and brighten their day by fielding client calls and ensuring their services are scheduled in a timely manner. You'll work in a fast-paced high energy customer service center, communicating with clients, families, funders and clients' Health Care Teams including Personal Support Workers, Nurses and Rehab Service Providers. You'll be supported by a passionate team and state-of-the art technology that enables you to coordinate services, accept new client referrals, schedule service changes and maintain client service plans. You will be supporting both Nursing and PS coordination desks.

Shift option available:

  • Any shift between 6:30am–9:30pm: Monday to Friday (with rotating weekends including the STAT Holidays.)

Key Areas of Accountability:

VHA's Health Services Scheduling Coordinator have the following key areas of accountability, but not limited to:

  • Process referrals, assignments, and scheduling services for the assigned program, handling highly sensitive and confidential information related to clients, funders and health care providers.

  • Coordinate and schedule new cases and service changes in compliance with funder referral orders and authorized service plan levels as well as maintain schedules on an ongoing basis with regard to clients' future and changing needs.

  • Ensure that all referral and staff (PSWs, nurses, Rehab Service providers) assignment processes/changes are documented and maintained.

  • Regularly communicate with clients, caregivers, and funders.

Required Qualifications:

  • Post-Secondary School Education: a certificate/diploma in healthcare education is preferred.

  • Minimum of three years related work experience in a healthcare organization/agency (preferably in the community) or in an administrative position that required extensive scheduling.

  • Excellent telephone skills—the ability to interact professionally with callers.

  • Strong organizational skills with attention to detail and the ability to prioritize multitask and change priorities and direction easily.

  • Excellent communication and interpersonal skills.

  • Must be able to support client needs that are consistent with our client and family-centered approach and provide the client and family with a positive experience with each contact.

  • Knowledge of the GTA and TTC routes or relevant contracted areas.

  • Strong computer and data entry skills.

  • Satisfactory completion of technical skills tests required.
