Job Summary:

The Administrative Assistant at CancerCare MB (CCMB) will be responsible for providing high level administrative support and office management to the staff in the Radiation Oncology Program (ROP).  The incumbent will provide confidential administrative support for ROP leadership, enter payroll, support program statistics and perform other duties as assigned to meet the objectives of the ROP. The incumbent will also assist the department with hiring, coordination and minute taking of meetings, preparation and upkeep of administrative standard operating procedures, preparation of financial paper work and coverage for out-of-scope administrative duties.

The Administrative Assistant will be required to work in a fast-paced environment and to prioritize a large complex workload to meet deadlines. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercise sound judgment, maintain confidentiality, and be willing to assume a variety of assignments, as required.  The candidate must be a self-starter, have the ability to work both independently and in a team setting with minimal supervision.

Qualifications:

Education

Successful completion of a recognized Administrative Training Program from an accredited educational institution.

Experience

3 years directly related experience, supporting an intermediate / senior level leaderExperience on payroll entries for department staffExperience recording and preparing minutes and agendas

An acceptable equivalent combination of education and experience may be considered.

Skills and Abilities

Ability to work in a fast-paced environment and work effectively under pressure to meet deadlinesAbility to coordinate and work with a multidisciplinary teamStrong organizational, prioritization skills, & attention to detail.Strong computer literacy and proficiency in MS Office Suite (Outlook, Word, Excel, Access, PowerPoint)Excellent communication (written and verbal) and interpersonal skillsAbility to work effectively both independently and as a member of a team.Ability to work in several competing priorities simultaneously.Demonstrated problem-solving and organizational skillsDemonstrated excellence of written and verbal communication skills Ability to compose correspondence on behalf of leadershipExperience scheduling and coordinating meetings and travelsExperience maintaining spreadsheets and databasesExcellent keyboarding skills 65 WPM.
