Adecco is currently hiring a temporary full-time detail-oriented and organized
Facilities Administrator
to support the daily operations of our client's Facilities team in Calgary, AB. This role plays a key part in financial administration, vendor payment processing, and operational coordination, ensuring smooth and efficient facility management across the organization.

Responsibilities:
- Process invoices through Microsoft Dynamics 365 (D365), including purchase order receiving and submission to Accounts Payable with accurate coding.
- Create and manage purchase requisitions (REQs) and purchase orders (POs).
- Support project-related invoice processing and ensure timely payment completion.
- Accurately code and reconcile bank credit card transactions within established timelines.
- Assist with month-end accruals and financial reporting requirements.
- Monitor and respond to requests from the Facilities inbox and ServiceNow.
- Support work authorization requests and assist with ongoing facility operations.
- Provide backup support to the Facilities Coordinator as needed to maintain service continuity.
- Coordinate travel arrangements for team members, ensuring cost-effective and compliant bookings.
- Serve as backup to reception during absences, such as illness or vacation coverage.
- Perform general administrative tasks and provide cross-functional assistance to ensure seamless operations within the Facilities team.
Qualifications:
- Previous administrative experience, ideally within a facilities or operations environment.
- Proficiency in Microsoft Dynamics 365 (D365) or a similar ERP system.
- Strong organizational skills with a high level of accuracy in data entry and coding.
- Ability to manage multiple priorities and meet tight deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
- Must be legally eligible to work, and reside in Canada
