Summary of responsibilities:
The
Administrative Assistant
is responsible for offering general administrative support, and to contribute to the overall efficiency and effectiveness of their Branch or Directorate. The
Administrative Assistant
performs all other duties and responsibilities related to the position as required.
What you need to succeed
To qualify for the position, you must have:
- Successful completion of a high school or college diploma with relevant experience in the field of Office administration.
- A minimum of one (1) to two (2) years of experience in providing administrative services.
- A minimum of up to two (2) years of experience in organizing and preparing a variety of documents, reports, and presentations.
- Experience processing invoices.
- Experience maintaining budget or other spreadsheets.
- Experience tracking and maintaining data on various activities, projects, and initiatives.
- Knowledge of methods, techniques and practices related to general administration and secretariat support planning and coordination.
- Advanced knowledge and experience with Microsoft Office software, specifically Outlook, Excel, Teams, and Word.

- Ability to multi-task and manage priorities efficiently; ensure files are up to date.
- Ability to anticipate others' needs and proactively act upon this knowledge.
- Ability to communicate (oral and written) in a clear and concise manner.

Valuable skills include:
- Experience in coordinating travel or event arrangements and preparing and processing claims and invoices.
- Experience in implementing, monitoring, and identifying areas for improvement with respect to administrative processes, filing, tracking and bring forward systems.
- Experience in taking meeting minutes and maintaining action item trackers.
- Knowledge of CATSA's mandate and priorities, as well as an awareness of relevant legislations impacting CATSA.
Specific work requirements:
- Language Profile: English Essential;
- Ability to obtain and maintain a Secret security clearance; and
- Be a Canadian citizen or permanent resident.

adjoint administratif
est chargé d'apporter un soutien administratif général et de contribuer à l'efficience et à l'efficacité globales de sa direction générale ou de sa direction. L'
adjoint administratif
s'acquitte de toutes les autres tâches et responsabilités liées au poste, au besoin.
Ce qu'il faut pour réussir
Pour pouvoir prétendre à ce poste, vous devez avoir :
- Diplôme d'études secondaires ou collégiales et expérience pertinente en administration de bureau;
- Au moins une à deux années d'expérience de la prestation de services administratifs;
- Au moins deux années d'expérience de l'organisation et de la préparation de divers documents, rapports et présentations;
- Expérience du traitement de factures;
- Expérience de la tenue à jour de tableaux budgétaires et autres feuilles de calcul;
- Expérience du suivi et de la tenue à jour de données sur divers projets, ainsi que diverses activités et initiatives;
- Connaissance des méthodes, des techniques et des pratiques liées à l'administration générale, à la planification et à la coordination du soutien au secrétariat;
- Connaissances et expérience avancées de l'utilisation de la suite Microsoft Office, notamment Outlook, Excel, Teams et Word.

- Expérience de la mise en œuvre, la surveillance et l'optimisation de processus administratifs et de systèmes de classement, de suivi et de rappel;
- Expérience de la rédaction de procès-verbaux de réunions et de la tenue d'outils de suivi des mesures à prendre;
- Connaissance des priorités et du mandat de l'ACSTA, ainsi que de la législation ayant une incidence sur ses activités.
Exigences précises liées au poste :
- Profil linguistique : Anglais essentiel;
