'Job Summary'
The Leasing Agent oversees all leasing activities for four residential buildings in the Penticton area. This role manages advertising, showings, tenant screening, lease signing, move-in/move-out inspections, and building oversight. A major component includes conducting building inspections focused on cleaning quality and identifying missed maintenance issues, managing cleaners and cleaning hours, and ensuring all maintenance concerns are properly entered into Buildium.

' Assist prospective tenants by providing detailed property information and guiding them through the leasing process.
- Key Responsibilities
Leasing & Tenant Relations
- Respond to rental inquiries via phone, email, and online portals.
- Advertise vacancies on rental websites, social media, and company platforms.
- Schedule and conduct professional suite showings.
- Pre-screen applicants and perform reference, employment, and credit checks.
- Explain tenancy terms and guide applicants through the application and approval process.
- Prepare and execute lease agreements, renewals, and addendums.
- Maintain communication with prospective and current tenants.
Move-In / Move-Out Management
- Complete detailed move-in and move-out inspections with photos and accurate forms.
- Document suite conditions and ensure tenant understanding of responsibilities.
- Collect security deposits and initial rent payments.
- Record damages or required cleaning at move-out.
- Coordinate turnover work with cleaners and maintenance.
Building Inspections & Reporting
- Perform scheduled and unscheduled building inspections across all four properties.
- Assess:
- Cleaning quality in common areas, hallways, entrances, and vacant suites.
- Suite readiness before and after move-ins and move-outs.
- Missed maintenance issues, safety hazards, or repair needs.
- All maintenance concerns must be entered directly into Buildium immediately, including photos and detailed notes.
- Escalate urgent or safety-related issues to the office and maintenance team promptly.
- Ensure accurate and timely reporting so issues are not missed or undocumented.
Cleaner Management
- Manage all cleaners, including scheduling, assigning buildings/units, and approving hours.
- Ensure compliance with cleaning standards and timelines.
- Provide feedback and follow up on incomplete or substandard work.
- Communicate regularly with the Property Manager regarding cleaner performance and hours.
Maintenance Reporting & Workflow
- Enter all maintenance issues into Buildium with full detail.
- Notify the office of high-priority or urgent issues.
- Coordinate access for maintenance teams when required.
- Track progress of maintenance items entered in Buildium to ensure follow-through.
Advertising & Marketing
- Create and update rental listings with accurate suite information and photos.
- Monitor listing performance and adjust advertising as needed.
- Remove ads promptly when units are leased.
Administration & Documentation
- Maintain complete digital tenant files.
- Update leasing status reports, vacancy lists, and turnover schedules.
- Issue all tenancy forms (RTA forms, notices to enter, inspection reports, etc.).
- Assist the office in ensuring compliance with the Residential Tenancy Act.
Qualifications & Skills
- Experience in property management, leasing, or customer service preferred.
- Strong organizational and communication skills.
- Ability to work independently and manage multiple priorities.
- Proficiency with computers and willingness to learn Buildium.
- Valid driver's licence and reliable transportation.
- Strong attention to detail for inspection and reporting work.
Working Conditions
- Travel between multiple buildings in the Penticton area required.
- Physical ability to conduct building inspections, including stairs, basements, and exterior areas.

Pay: From $25.00 per hour
