The Administrative Assistant provides administrative and secretarial support to the Director, Financial Services and members of the Financial Services Department. Assist the Financial Services Customer Services team in creating a welcoming atmosphere for residents.
Duties
Handles various administrative tasks, such as but not limited to:
- Purchasing and maintaining office supplies inventory
- Input purchase order for Financial Services
- Performs duties as requested, such as photocopying, occasional correspondence, typing, etc.
- Perform administrative duties for Finance committees, including but not limited to meeting agendas, advertising, minutes, correspondence, etc.
- Provide support to the Director, Financial Services, including but not limited to completing research, reviewing reports and presentations, scheduling meetings, reconciling department visa, insurance files, and drafting correspondence, etc.
- Procurement support for Financial Services.
- Review of communication strategies; generates and distributes communication updates for department as required.
- Updates Financial Services section of municipal website as required.
- Schedules meetings and provides meeting support for Financial Services department as required.
- Manage postage balance and pick up and deliver mail to the post office. Act as back up for processing incoming mail.
- Assist the Utility and Tax Clerk with outgoing mass mail-out, by working with Printing Service Provider.
- Manage Financial Services record management and lifecycle schedules.
- Support the annual review of Financial Services space for occupational health and safety concerns, by scheduling and following up on any work that needs to be completed.
- Represent Financial Services, on the Communication Committee.
- In partnership with the Customer Services Team, ensure the reception area is tidy, with current materials, and welcoming to all.
- Acts as backup to the front-end services during staff shortages (i.e. waiting on customers and answering incoming calls).
- Provide the Financial Services department support on various projects.
Qualifications
- Excellent communication skills, both verbal and written
- Strong organizational skills
- Minute Taking ability is considered an asset
- Diploma in Administration/Business Administration would be considered an asset
- Highly proficient with Microsoft Office software
- Ability to analyze data, maintain accuracy, and perform detail oriented tasks
- Strong work ethic, resourceful, and takes pride in providing a safe and inclusive space for community members
- Willingness and ability to learn new process, systems, and software
