Role Description

The Assembly Coordinator is responsible for supporting the assembly team by managing documentation, scheduling, kitting of materials, and coordinating tasks between departments. The role ensures assembly activities are properly planned, materials are staged, drawings are up to date, and schedules are maintained. The coordinator acts as a communication link between assembly, engineering, project management, and quality to ensure efficient workflow and timely project completion. This role also contributes to continuous improvement by applying Lean principles and 5S practices to enhance efficiency, organization, and safety in the assembly area.

Key Responsibilities

Coordination & Scheduling

  • Assist the Supervisor, Assembly & Test in preparing and maintaining assembly schedules.
  • Coordinate daily/weekly priorities based on project timelines.
  • Monitor work progress and flag potential delays to the Supervisor and Project Manager.
  • Support allocation of work to assembly technicians to balance workload.

Documentation & Drawing Control

  • Print, distribute, and control technical drawings, schematics, and work instructions for assembly projects.
  • Verify drawing revisions are current before release to the shop floor.
  • Work with Engineering and QA to ensure controlled documents are properly signed off and stored.
  • Maintain assembly records and ensure accurate filing of job-related documents.

Kitting & Material Support

  • Prepare and stage kits of components, hardware, and consumables for assembly projects.
  • Verify that parts match Bill of Materials (BOM) and communicate shortages to Supply Chain/Project Management.
  • Operate forklift or pallet jacks to move materials as required (must be trained/certified).
  • Support tracking of inventory and consumables required for ongoing builds.
  • Assist with receiving inspection of components as required.

Lean, 5S & Continuous Improvement

  • Apply Lean manufacturing principles to improve efficiency and reduce waste in assembly support activities.
  • Maintain and promote 5S standards (Sort, Set in Order, Shine, Standardize, Sustain) in kitting, documentation, and storage areas.
  • Document and share process improvements and lessons learned with the team.

Communication & Reporting

  • Act as a liaison between assembly, engineering, QA, and project management for project-related tasks.
  • Track assembly progress and provide updates to project teams.
  • Document lessons learned and process improvements from assembly projects.

Health, Safety & Housekeeping

  • Follow all Health & Safety, WHMIS, and PPE protocols.
  • Support maintaining a clean and organized work environment in coordination with assembly staff.

Other Duties

  • Assist with coordination of training or certification requirements for assembly staff.
  • Participate in continuous improvement initiatives related to assembly workflow, documentation, and scheduling.
  • Perform other duties as assigned by Supervisor/Manager.

Qualifications

  • Post-secondary diploma or certificate in manufacturing technology, engineering technology, or related field.
  • 2+ years in a manufacturing or production coordination role.
  • Experience with scheduling, kitting, or ERP/MRP systems preferred.
  • Familiarity with Lean manufacturing principles and 5S workplace organization.
  • Forklift operation experience (certification preferred or willingness to obtain).
  • Exposure to engineering drawings and BOM structures required.
  • Strong organizational and scheduling skills.
  • Ability to read and interpret engineering drawings and BOMs.
  • Proficiency with ERP/MRP systems, MS Office (Excel, Word, Outlook).
  • Attention to detail with strong document control practices.
  • Effective communication and coordination skills across multiple teams.
  • Ability to work independently with minimal supervision.
