Title: Payroll and Benefits Coordinator

The Calgary Police Youth Foundation (CPYF) and YouthLink Calgary Police Interpretive Centre are seeking a skilled Payroll and Benefits Coordinator to support both organizations. Although you will be employed by CPYF, this role provides payroll and benefits administration to two separate partner organizations, and therefore requires working with and reporting to management teams in both.

This full-time position is ideal for someone who is highly organized, able to work independently, and committed to delivering exceptional customer service to employees. Experience with ADP Workforce Now or similar payroll systems is a strong asset.

CPYF is a charitable organization dedicated to early intervention, crime prevention, and education for Calgary's most vulnerable children and youth. YouthLink Calgary delivers interactive educational programming that empowers youth to make safe, positive choices.

Together, these organizations operate with small, dedicated teams that depend on accurate, timely, and confidential payroll and benefits support.

We are excited to welcome a Payroll and Benefits Coordinator who will contribute to both organizations' missions and uphold a high standard of accuracy, professionalism, and employee support.

Role and Responsibilities in Payroll

  • Manage end-to-end payroll operations, including data entry, validation, and processing.
  • Incorporate new hires and process terminations (final pay, vacation payouts, ROEs).
  • Ensure payroll deadlines are met and employees are paid accurately and on time.
  • Maintain compliance with federal and provincial payroll legislation.
  • Configure and update payroll system settings to align with policies and statutory requirements.
  • Troubleshoot payroll system errors and liaise with vendors/IT to resolve technical issues.
  • Maintain and update payroll records for changes in status, compensation, benefits, or deductions.
  • Process promotions, vacation adjustments, retro adjustments, and role changes accurately.
  • Collect, verify, and summarize timesheets for Finance/ED approval; send ADP invoices and reports.
  • Prepare annual payroll schedules, maintain vacation balances, and ensure confidentiality of data.
  • Complete year-end activities: reconcile payroll, prepare/distribute T4 slips, submit T4A filings.

Roles and Responsibilities in Benefits

  • Process benefit enrollments, terminations, and changes to insurance programs or employee information.
  • Communicate benefit plan updates and provide documentation to new hires (cards, booklets, materials).
  • Arrange benefit educational sessions and support employees with disability claim inquiries.
  • Track billing documents, update premiums in payroll, and coordinate annual renewals.
  • Troubleshoot benefit-related issues and complete year-end premium reconciliations.
  • Manage benefit policies, liaise with ICBA, and submit FSA allocations to carriers.

Roles and Responsibilities in WCB (Workers' Compensation Board)

  • Prepare, review, and submit quarterly WCB premium payments and annual reports.
  • Ensure payroll data accuracy for WCB calculations and reconcile figures against assessments.
  • Monitor deadlines to avoid penalties and resolve discrepancies with WCB records.
  • Maintain records of claims, premiums, and correspondence while ensuring compliance with legislation.
  • Act as primary contact for WCB inquiries, assisting employees and ED with claims.
  • Handle workplace injury claims, payroll adjustments, and manage WCB communications to staff/ED.

Any other duties as required as well as additional HR duties.

Qualifications and Experience

The ideal candidate has strong numerical skills and strict attention to detail is imperative. Must be able to use good judgment and work independently in a multi-task position within a dynamic, team-based environment with solid time-management and organization skills. Candidates must be able to perform payroll duties in a timely way with solid accuracy.

Candidates must possess an ability to work well under pressure and the ability to seek information and communicate in a compelling and succinct form. A solid understanding of payroll, insurance, and HR as they relate to employee compensation is essential, while post- secondary education and simple accounting is an asset to the position.

Experience, Skills, and Abilities

  • Demonstrated experience in payroll administration or a similar role, minimum 3 years in payroll and accounting.
  • Proficiency with payroll processing using ADP Workforce Now (WFN) and other accounting software.
  • PCP or PLP designation is preferred or relevant work experience.
  • Strong numerical and analytical skills with a keen eye for identifying errors.
  • Solid understanding of labor legislation, payroll regulations, and benefits administration (Sun Life, Green Shield).
  • Familiarity with WCB administration and compliance requirements.
  • Background in Accounting, Human Resources, or a related field.
  • Excellent communication skills with the ability to collaborate effectively across teams.
  • Skilled in building and maintaining positive working relationships.
  • Advanced computer proficiency, including MS Office (Excel, Word, PowerPoint), Adobe Pro, and related applications.
  • Exceptional organizational and time management abilities; able to prioritize and meet multiple deadlines.
  • Detail-oriented, thorough, and adept at managing concurrent tasks in a fast-paced environment.
  • Self-motivated problem solver with initiative, resilience under pressure, and a cooperative team approach.
  • Proven ability to handle sensitive information with discretion and maintain strict confidentiality.
