Facilities & Operations Support Coordinator
. In this role, you will be responsible for maintaining smooth and efficient facility operations, ensuring all building systems, equipment, and administrative processes run reliably. You will coordinate maintenance activities, manage vendors and contractors, support onboarding tasks, and provide day-to-day administrative support to keep the workplace safe, functional, and well-organized.

What You Will Be Doing
Facilities & Maintenance Coordination

  • Oversee and coordinate preventative maintenance schedules for building systems and equipment, including HVAC units, forklifts, and cranes.
  • Respond promptly to issues requiring immediate attention, such as equipment malfunctions or facility repairs, ensuring minimal operational disruption.
  • Maintain accurate records and ensure compliance for equipment calibrations.

Procurement & Vendor Management

  • Manage purchasing activities for facility and office requirements, including supplies, furniture, and general building materials.
  • Coordinate vendor and contractor setup processes, ensuring proper documentation and adherence to company standards.
  • Oversee relationships with third-party service providers, ensuring quality and timely completion of contracted work.

Onboarding & Administrative Support

  • Facilitate new employee onboarding tasks related to facility access and identification (e.g., key fobs, nameplates, sign-in credentials).
  • Support general administrative duties to ensure efficient day-to-day operations.
  • Coordinate employee meal/food orders as required.

Reporting & Compliance

  • Maintain and update monthly diesel fuel logs and related documentation.
  • Ensure accurate tracking and timely completion of all facility and equipment-related activities

New Facility Support

  • Assist in the coordination, setup, and transition activities associated with opening and commissioning a new facility, including equipment installation support, space planning tasks, vendor coordination, and ensuring readiness for operational use.

What You Will Bring Along

  • University Degree or College Diploma in Business Administration or a related discipline is considered an asset
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities simultaneously.
  • A proactive, hands-on approach to solving facility and equipment-related issues.
  • Experience working with vendors, contractors, or service providers and ensuring work is completed to standards.
  • Comfort coordinating maintenance activities and maintaining accurate logs and documentation.
  • Strong communication skills and the ability to work collaboratively with employees across departments.
  • Computer proficiency (Microsoft Word, Excel and other related systems)
  • Strong analytical skills with a high attention to detail
