About Us: Innisfree Farm and Cabrera Consultants is a dynamic clinic, farm, and herbal dispensary dedicated to wellbeing, education, and community. We are seeking an organized, personable Office Administrator to serve as the central hub for operations across our clinic, dispensary, farm, and café.

Key Responsibilities:

Clinic Support:

  • Serve as first point of contact for patients, providing administrative guidance through all clinic processes
  • Manage appointments, patient communication, and administrative tasks from intake to discharge
  • Maintain accurate patient files, ordering lab tests, and ensuring safe prescription access
  • Support practitioners with day sheets, updates, and relevant patient information

Dispensary Operations:

  • Assist with processing and preparing patient prescriptions
  • Monitor inventory, cost-accounting, and orders
  • Collaborate with dispensary manager to improve systems and processes

Office Administration:

  • Maintain organized office systems, supplies, and communication across departments
  • Manage voicemails, Google Drive, filing systems, and periodic office updates

Financial & Bookkeeping Support:

  • Prepare invoices, monitor accounts receivable, and process payments
  • Support bookkeeper with timely and accurate financial information
  • Conduct cost-accounting checks, monthly and annual reports, and bank deposits

Farm & Café Support:

  • Book tours, events, and rentals; manage contracts and payments
  • Respond to inquiries and support daily operations of farm and café services

Marketing & Communication:

  • Assist with social media planning, content creation, and audience engagement
  • Ensure events and offerings are promoted accurately on relevant platforms
  • Support newsletter creation and website updates

Other:

  • Complete special projects as assigned
  • Support overall team operations with professionalism and a collaborative approach

Qualifications:

  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Comfortable with technology (QuickBooks, Google Drive, social media platforms, and online booking systems)
  • Prior experience in office administration, healthcare, or retail/dispensary operations is an asset
  • Ability to work independently and as part of a team
