About Backyard Canada
Backyard Canada is a rapidly growing Calgary-based retailer specializing in hot tubs, saunas, cold plunges, and outdoor living products. We help Canadians create beautiful, functional backyard spaces — and we're looking for a Senior Administrator to help keep our operations running smoothly as we grow.
Position Overview
We're looking for a detail-oriented and highly organized Senior Administrator to support our day-to-day operations, manage orders and inventory, communicate with clients and suppliers, and help lead the administrative side of our business. This role is ideal for someone who enjoys structure, thrives under pressure, and wants to grow into a leadership position.
Responsibilities
- Process and track product orders with multiple suppliers.
- Monitor incoming and outgoing inventory and maintain accurate records.
- Communicate order updates, shipping timelines, and delays with clients.
- Collect final payments before orders ship and track accounts receivable.
- Manage outstanding client orders and ensure timely follow-ups.
- Coordinate deliveries between suppliers, shipping partners, and customers.
- Track backorders and proactively communicate updates.
- Support the sales team by reviewing invoices for pricing and accuracy.
- Handle client service issues with professionalism and empathy.
- Conduct physical inventory counts and help maintain stock levels.
- Reorder popular items before inventory runs low.
- Build and maintain strong relationships with suppliers and logistics partners.
- Provide management with regular reports on orders, inventory, and payments.
- Identify opportunities to improve efficiency and streamline processes.
Skills and Qualifications
- Highly organized and detail-oriented.
- Excellent communication and interpersonal skills.
- Strong critical thinking and problem-solving abilities.
- Calm and professional under pressure.
- Emotionally mature with strong customer service skills.
- Ability to perform some light physical work (packing orders, lifting boxes).
- Experience with inventory management, QuickBooks, or CRM software is an asset.
- Previous experience in operations, logistics, or administrative coordination preferred.
