Job Summary:
Reporting to the Human Resources Director, the Assistant provides senior level administrative support as it relates to workflow, deadline control, report and correspondence handling and preparation, tracking, scheduling, agenda control, policy development and analysis. The position will also assist Human Resource Advisors.
Duties may include:
- Manages the HR inbox and update HUB when required.
- Manages the day-to-day administrative activities for the Human Resources Director as they relate to workflow, deadline control, report and correspondence tracking, and overseeing the scheduling and agenda functions
- Responds to a variety of requests for information and other correspondence on behalf of the Human Resources Director by receiving the request, researching and preparing the appropriate response.
- Coordinates departmental projects assigned by the Human Resources Director and handles the complex day to day administrative and management affairs of that office.
- Provides critical support to the Human Resources Director by maintaining currency with and tracking issues of significance to the Senior Administrative Team.
- Provides research, policy analysis, systems communications and special project support to the Human Resources Director on existing or anticipated issues, often of a highly confidential and strategically sensitive nature.
- Provides administrative support relating to all department labour relations issues as requested by the Human Resources Director
- Scan and E-file documents as required.
- Creates and updates organizational charts and distributes as required
- Prepares the 25-year recognition and retirement list
Qualifications:
Education and experience:
- A high school diploma and a minimum of two years' office experience in a senior secretarial position OR an equivalent combination of experience and training
- Experience with human resources functions, procedures and policies is an asset
- Knowledge of Human Resources functions and collective agreements would be an asset
- Preference will be given to candidates with knowledge of CIMS / Connect products (e.g., JobConnect, EmployeeConnect, AdminConnect)
- Two (2) years of experience using Microsoft Office products and ability to learn new technology as required
- One (1) year of experience working with databases, ability to run reports and analyze and present information
Knowledge and Abilities:
- Demonstrated ability to recognize politically sensitive issues and bring matters of priority to the HR Director's attention.
- Demonstrated advanced proficiency in the use of Microsoft Word, Outlook, Excel, and various computer software programs pertinent to this position's responsibilities.
- Ability to communicate effectively verbally and in writing across multiple levels and stakeholders.
- Knowledge of requirements and inter-departmental communications.
- Ability to problem-solve, using a variety of inter-personal skills including initiative, creativity, organizational and self-directed.
- Demonstrated ability to plan and organize work effectively and to identify and resolve problems.
- Excellent time management and organizational skills with the ability to prioritize conflicting workloads.
- Ability to meet established daily, weekly, monthly, and yearly deadlines.
- Ability to make a positive contribution within a team environment and work effectively through others.
- Ability to handle confidential information and to exercise the utmost discretion in providing information to others.
- Experience with CIMS Core is an asset
- Experience with CIMS / Connect products (e.g., JobConnect, EmployeeConnect, AdminConnect is an asset
